De Anza Lions PM Minutes: September 2016

Stop Hunger Now: same weekend as our Thanksgiving food drive but Lion Susi (who couldn’t make it tonight), will talk about it next time.

Happy Dollars/Tailtwister: lots of dollars-sports, grandchildren, school, etc.

Omar’s Dream Run: Omar was able to do remote learning, when he was stricken with cancer, so he wouldn’t miss too much school.  The run was created in his honor and this year is the 4th.  We helped get it off the ground, with Mike R. and Teresa and now we still participate with set up of tables, water coolers, etc.  We do this on Saturday afternoon and then Sunday when the run is over we take the tables down and back to storage.  Eli really needs some extra help because many who usually help that day will be out of town.  This is on Saturday the 15th and Sunday the 16th.  Eli needs 3-4 people for each shift: before, during and after.

Get on Your Bike and Ride: A New Fundraiser Proposal-Lion Kent presents his well-thought out and detailed proposal.  Co-partner with American Diabetes Association-the participants are passionate about the ride but also about fundraising for a particular cause. Predicted to happen in Cupertino, De Anza College, preferably.  This area is considered to be a center of cyclists, too. An estimate is that if we had 100 participants it is possible to bring in thousands of dollars.  We would need routes and Kent needs to get Chairs for each of the 5 categories before it can get off the ground: Each category has anywhere from 5-11 separate details.  (Please email Kent for an attachment with the overview). All of the participants are recruited online and many experiences riders actually get their companies to match their fundraising.  The event registration is all online and so is the payment.  No auction for this kind of event, but a t-shirt needs to be designed for the event and given to all participants. The volunteers for day of come from an online recruitment system.  Many of the local companies (Google, SalesForce, etc.) already have teams that want to participate in these kinds of rides.  Vijay has made contact already with one corporation, but the calendars of these corporate teams fill up fast. (As in 2017 is getting full for the potential rider pool).

How much of the profit goes to ADA?  How much of the profit being given to ADA is necessary to get riders to get their commitment?  Branding this as Lions Club International and Cupertino De Anza Lions would be very important.  We get exposure and possibly new members.  WE ARE On For the Ride as we have Committee Chairs and this was the requisite for the Board Approval.

Board Meeting Recap: mostly we discussed the bike ride.  Charles suggested a calendar of events and a cheat sheet of what we do.  We reallocated some donations, if a cause or a champion of a cause has not been present.

Budget Proposal Approved!!

Food Drive: John Noone has confirmed that both stores from last year for Food Drive are on, and we have a reservation for the refrigerator truck, and the same 7 groups are very much ready for our help this coming season.  Next month, John will send out the sign-up sheet.

Monta Vista Leo Club: on Friday, Kent will be meeting with this club, and they have quite a few new members and he will be asking about the food drive.

Acting Tail Twister Lion Eli went around the room extracting Happy Dollars and change. Kudos to Lion Phil who reported the Veteran’s Hospital in Palo Alto has agreed to collect glasses for our club. Lion Phil estimates we may be getting as many as 100 pair a week.

Omar’s Dream Dream

Lion Eli said he could use some help on Friday afternoon loading up tables, chairs, and tents and again on Sunday afternoon taking down the same and returning everything to storage. Call or email Lion Eli if you would like to help.

Crab Feed

Tickets are on sale now. If you are interested contact Lion Al. Tickets have been reserved for those who attended last year and will be held until at least mid December maybe early January. Seats are limited this year so get your requests in early.

Lion Steve reported we have $1300 in donations. Our goal is $5000.

Thanksgiving Food Drive

Bike Ride

Lion Kent said the Bike Ride is about to encounter some expenses for permits and insurance. He had Lion Claire look at the insurance policies and she indicated we would need both…LCIF and McKay.

Flag Day

Lion Mort reported she is planning on Flag Day presentations at two schools: Hughes and Sutter and that they will be for the 3rd grade only. A request for a Flag Day presentation to 1st graders at Blue Hills was turned down.

Student Speaker Contest

In a side bar after the meeting it was decided the Student Speaker Contest would be held on Thursday, February 9, 2017. Our thanks to Lion Don for allowing us to again use the facilities at the Odd Fellows Hall at no charge.

It was Lion Herb’s birthday so he rolled the dice then gave a donation. Happy Birthday, Lion Herb! Lion Eli gave a Happy Dollar for his granddaughter, Sydney whose volleyball team won the league champions. Several Happy Dollars were given for the SF Giants who was victorious in their playoff game last night.

PM Meeting Review – Lion Al

STOP HUNGER NOW: Suzie De Unger with Sunnyvale Host Lions presented our club with a patch for our ongoing support to the Stop Hunger Now program. The next Stop Hunger Now packaging event will be on November 19th, 10am at St Francis Episcopal Church, 1205 Pine Ave in San Jose.

GOLF TROPHY AWARD: Lion Amy presented Jerra Rowland with a trophy for her team’s division win at our Golf Tournament last June. According to Lion Eli her team is VERY GOOD and has won the last several years. Jerra Rowland is the president of the Cupertino Rotary and has volunteered as a judge at our Student Speaker Contest for many years.

CAMP VIA WEST: The Fall Festival is this Saturday, October 8th at 10:30 am. Volunteers are needed to help with the carnival. Come and help if you can.

OMAR’S DREAM RUN: There is a mandatory meeting for all volunteers at 11 am this Sunday, October 9th at Hellyer Park in San Jose. The Race is on Sunday October 16th. People are needed to walk or run the race. For more information see: www.omarsdream.org.

Thanksgiving Food Drive – Lion John

Lions Yvonne and Dan have agreed to take charge of packaging. Their Car Club has collected $425 so far and food for 60 people. GREAT JOB!!

Bike Ride – Lion Kent

PLANNING: is going well. Routes have been developed. Lion John is getting approval from the cities involved. Website will be built by the same person who did the same work for Omar’s Dream. Website has to be ready by January for use by future participants.

BUDGET: Lion Vijay says Bike Ride needs to come up with a preliminary budget.

INSURANCE: Lion Kent says he is looking into coverage available through LCIF. LCIF may not meet all our needs. He likes the policy from McKay because McKay insures most of bike rides.

Crab Feed – Lion Steve & Lion Al

DONATIONS: Requests are about 4 per day. Lion Steve says he could use some help. If you have a favorite restaurant why not ask them if they are willing to donate. $950 worth of donations are left over from Golf Tournament.

CREDIT CARDS: Participants will be able to use their credit cards at the Crab Feed. We need a volunteer to sit between donation table and refreshments to run credit card purchases.

TICKET SALES: Tickets are on sale now. If you are interested contact Lion Al. Tickets have been reserved for those who attended last year and will be held until at least mid December maybe early January. That leaves only 36 tickets for the first seating.

Voter Registration – Lion Al

Camp Via – Lion Bill and Lion Al

Camp Via is having a carnival on October 8th and will be dedicating their new playground. Volunteers are needed to help with the carnival.

Thanksgiving Food Drive – Lion John

The signup sheet will be available next week. Please help save some apple boxes. The Car Club has volunteered to do the packaging. Kudos to Lion Jen Smith for volunteering to assist Lion John Noone with this event.

Crab Feed – Lion Al, Lion Steve and Lion Eli

We are committed to this event. There will be two seating’s of up to 252 each. Fliers and tickets have been printed. Tickets will be available beginning at the PM October meeting. Tickets can be reserved until Dec 15th. There will be a work party at Lion Steve and Ellen’s home on Jan 26th. We anticipate needing 50 Leos for each seating. We need a volunteer for credit card transactions. Can you help?

Bike Ride – Lion Kent

Plans are progressing well but we need EVERYONES HELP. Lion John is preparing the bike routes. Lion Ron is contacting the ADA. Lion Ray has reserved some space for the event at De Anza College. Several Lions attended the Bike Ride in Palo Alto last week. Omar’s Dream Run – Lion Eli

The Dream Run to enable hospitalized and medically supervised children to attend school and stay connected with their teachers and classmates will be on Oct 16th at 10 am in Hellyer Park San Jose. You can register online at: www.omarsdream.org. They currently have enough volunteers but a wait list is available. Register online. There is a mandatory volunteer meeting on Sunday October 9th at 11 am in Hellyer Park. As of last week there were 203 people signed up for the run. However they expect 400 by the day of the race.

The blanket making has been delayed until sometime in February.

Tail Twister – Tail Twister Pro-Tem Lion Eli went around and collected a Happy Dollar from Lion Al for his safe return from his 3,615 mile Harley trip.

Thanksgiving Food Drive – Lion John said he would be sending out the sign up work sheet the first week of October.

Crab Feed – Lion Ray said he and Eli talked with both Saint Williams church and the Los Altos Rotarians about their participation in the crab feed and they both declined. Lion Steve said we need to make a final decision soon. There will be a special meeting with crab feed major players and Board members Friday September 23rd at 3:00PM at Lion Al’s home to discuss whether our club should go alone in this endeavor. Lion Steve passed around a copy of the new flyer for review, changes might need to be made pending the meeting. Lion Jim said the Fish Market is still in. Lion Al mentioned that we would have to get some kind of Visa charging (i.e. Pay Pal / Square) device so that we can use it for the crab feed.

Cycling Event – Lion John said he was working on the cycling routes. He said he thought the long route was okay but might need to change the others depending on input from others. Lion Ray talked with DeAnza College and has Parking Lot A reserved for August 26, 2017. Lion Ron has tried to contact Karen Zimmerman at the ADA but has not received a response yet.

Good of the Order – Lion Ray said he and Lion Eli took 2,000 pairs of glasses to Vallejo with the majority of them from Lion Phil, great job Lion Phil.

Lion Al said he and Barbara had signed up with the Santa Clara Voters Registration office for Election Day volunteers. Also in the process of signing up are Lion’s Ray, Ron, Don Lang, Walt Strach, and Charlie Waters. To sign up you can just email Monique at the Santa Clara Voters Registration Office.

Lion Eli said there will be a breakfast meeting of the Omar’s Dream Run Committee this Sunday Morning September 25th.

Tail Twister – Tail Twister Pro-Tem Lion John went around and collected a  Happy Dollar from Lion Walt who celebrated his 48th Wedding Anniversary along with his wife Carol’s birthday.  Lion Kent gave a happy dollar for the kickoff meeting of the Charity Bike Ride via video Conference Call on the Internet.

Thanksgiving Food Drive – Lion John said that the stores are set and ready to go.  He had also said that he has nailed down where he is going to get the boxes.  Lion John said that Lion’s Dan and Yvonne Fimby have some volunteers to help with the boxing of the food.  The refrigerator truck has been reserved.

Crab Feed – Lion Ray said he had not talked Eli since Lion Eli was supposed to talk with the Rotarians.  There still is some concern about the participation of the Rotarians and their commitment.  Lion Steve said we need to make a final decision by the end of the month as he will need to make his auction donation requests.  Lion Ray said he sent the request to the church to reserve the hall but he has not heard back from them yet.  There was a discussion about the Leo and  Rotoract volunteers.

Charity Bike Ride – Lion Kent talked about the first Charity Bike Ride video conference meeting and the tentative date of August 26, 2017.  Lion Kent put a link to the meeting video in an email that he sent out to the club so anyone interested could see and listen to it.  Lion Ray said he will be talking with DeAnza  college about the use of their parking lot.  Lion Kent said there was a charity bike ride coming up on September 24th in Palo Alto that interested members should attend to see how they are set up and run their event.

Good of the Order – Lion Ray said he sent out an email asking for volunteers for Election Day.

Lion John Noone talked about Project Linus said a tentative date of October 20th has been set at the Odd-Fellows Hall in Cupertino.

Lion Kent said he attended the first meeting of the Monta Vista Leo’s for this school year and there were approximately 100 attendees.

Lion Walt talked about the upcoming Student Speaker contest in February 2017 at the Odd-Fellows Hall in Cupertino.  Exact date has not been set yet.  It will either be the 9th or 16th of February.

Tail Twister Happy Dollars were given in honor of the debut of Lion Ron son’s new TV show – Match Game, return of Lion Don after a bout with pneumonia, success of Lion Bill’s birthday party, and the end of Lion Walt’s term as secretary.

Review of Golf Tournament- Lion Al said today is the last day to submit expenses. He is still expecting a $1,000 check from Sand Hill properties. If it comes in, our club would net around $18,000, our most profitable golf tournament ever.

Lion Steve said he has some extra discount coupons from Metro Pizza if anyone was interested in having them. Metro Pizza is an Indian pizza shop located on Stevens Creek Blvd near the intersection with Lawrence Expressway.

Crab Feed Update – The Sunnyvale Sunrise Rotary Club will not be participating this next year because of lack of membership and interest. There was some interest in helping possibly with ticket sales or maybe Interact volunteers. Lion Jim said we could eliminate 30 volunteers if we went to a buffet dinner. One person from each table could go to the counter and pick up the bowls of crab and bread.

We are looking to team up with some other organization such as St. Nichols Church or Boy Scouts. Lion Ray volunteered to contact the Battered Women’s group. Lion Walt agreed to contact Sunnyvale Community Services.

We are looking for a group of 20 – 25 adult volunteers. The adults are needed to help solicit raffle items, sale of tickets, and general help. 50 students are needed to serve food and help setup and clean off tables.

Tail Twister The generosity of our members surprised everyone today. Many “Happy Dollars” were given in celebration of the success of our Golf Tournament. It was Lion Steve’s birthday and rather than roll the dice he made a donation. It was also Lion Bill’s 90th birthday. In his honor we all chipped in “Happy Dollars”. Happy Birthday Lions Bill and Steve!

Review of the Golf Tournament – Lion Al said we would net around $18,000, our most profitable golf tournament ever. Thank you to Lion Amy and all those who helped to make this happen.

OB MANAGEMENT: We discussed the increasing costs of doing business with the Moffett Field Golf Course since OB Sports took over management. Lion Vijay has taken up our concerns with Google and appears he may be able to get us some concessions. Kudos to Lion Vijay for taking up this task, being a Gold sponsor, and agreeing to take over treasurer position from Lion Al.

EVALUATION & FEEDBACK: Lion Carl has emailed all club members an evaluation form, http://goo.gl/forms/dnMO4K9RBlvMBKPd2 Please fill it out NOW and include comments you heard from those non members who were at the tournament.

SILENT ACTION:  Lion Steve reported there were two items that received no bids. 1) Two tickets value up to $170 for any performance of the 2016/2017 Silicon Valley Theater Works. Note: As of this afternoon they were sold. 2) Two tickets valued at $170 for Paso Robles Golf Course. It was suggested we offer them to one of the golfer who paid for a player who did not show up. The tickets would be offered in lieu of a refund.

VOLUNTEERS: There does not seem to be enough volunteers signing up or showing up for our major events…golf tournament, food drive, and crab feed. Need to remind everyone their assistance is needed at each of these events.

Review of Board Meeting

GOLF: Big success. More volunteers needed. Some glitches but we were able to work through them. Tentative date of next year’s tournament is June 17, 2017.

FINANCIAL REVIEW: Some distributions not made this year. They include 1) Wounded Warriors…money will be given to an other vet group next year. 2) $1,500 not distributed to Blind Center. 3) $3,000 we budged for LCIF is being withheld until we see if the $5,000 credit we have with LCIF still stands.

BUDGET MEETING: The 2016/2017 budget meeting will be held in conjunction with the Board Meeting at 6:30 pm on 7/26/2016. Kudos to Lion Al for volunteering to host it.

TAIL TWISTER PARTY: The party and Installation of Officers will be held in August. Date to be determined. Thanks to Lions John and Leslie Noone for volunteering to host it.

CRAB FEED: We have not heard back from the Sunnyvale Sunrise Rotary Club. Lion Steve has offered to contact Rotarian Lester Santos. Both Lion Steve and Lester have a common interest in collecting old vinyl records.

MEMBERSHIP: The Board approved the membership application of Jennifer Smith. Jennifer is the daughter of Lion John Smith and sister of Claire Kalia. Welcome Lion Jennifer! Lion Bernie Reeber has moved to Oregon and no longer a member of our club. Best wishes, Lion Bernie! That leaves the club with a net of 41 members. Time to look for some new members.

GOLF DEBRIEF – It looks like this was our most profitable tournament ever! Kudos to Lion Amy and all those who helped. Lion Amy expressed special thanks to Lion Jenny for her help with challenges of food and beer.

Lion Al reported our net profit as $18,569.71 less Lion Jenny’s expenses which appear to be about $100. The net is still $1,000 more then last year. The difference is attributed to an increase in sponsorship. There were fewer golfers then last year.

The course was in good condition. However there were some clichés. Moffett Field had allowed golfers onto the course earlier in the day. This resulted in several problems. The parking lot was full when our golfers started to arrive. Some carts were not available when golfers showed up. The shotgun start had to be revised because of golfers still on the course.

Other concerns…Returning golfers wanted to know why there was no pizza this year. A slow four some delayed players behind them; some of which were our tournament sponsors.

The Board set a tentative date of June 17, 2017 for next year’s tournament.

2. GOOGLE, OB SPORTS & THE GOLF COURSE AT MOFFETT FIELD – Lion Vijay reported he has been in contact with his friends at Google. This prompted Google to have Josh Blynn, Director of Health and Performance meet with OB Sports, the management people at the golf course. A couple of the board members reported that on the day of our tournament that Gary and some of his people at the course seemed to be more helpful as the day went on.

3.  FINANCIAL REVIEW – Lion Al reported the Foundation’s books were up to date through May 31st.  Not all budgeted distributions have been made. Money originally allocated for Wounded Warriors has been held over and will be reassigned to another veterans group next year. At the request of Lion Ray we did not distribute $1,500 to the Blind Center. We had budgeted $3,000 for LCIF but with a $5,000 credit we holding off sending any more.

Lion Vijay has the books on the Club’s financials. He has asked that Lion Al hold over and help him with the books for the first meeting or two.

4. BUDGET MEETING FOR 2016/2017 – The budget meeting will be combined with the board meeting for July. The date has been changed to 7/26/2016 at 6:30 pm. Note the change in time. Lion Al has offered to host the meeting at his home. All Lions are invited to attend.

5. Summer Installation/Tail Twister Party – Lions John and Leslie have volunteered to host the party at their home. It will be held in August. Date to be determined. We have a check for Ambikanagar Lions’ Dr. Byakod and will present it to him if he can come to the party or can attend one of our PM meetings.

6.  FOLLOW UP, PAST TOPICS –

CRAB FEED: The event has been tentatively set for January 28, 2017. Lion Charles noted we need to have the key positions filled by September. It was recommended that this budget item be more conservative because of many unanswered questions. We have still not heard from the Rotarians as to whether they will partner with us. If not who will fill the jobs they normally take care of? Lion Jim has been busy dealing with his job and his dad. Lion Steve has volunteered to call Rotarian Lester. Both Lion Steve and Lester have a common interest in collecting old vinyl records.

NEW MEMBERSHIP: The Board approved the membership application of Jennifer Smith effective July 1st. Jennifer is the daughter of Lion John Smith and sister of Lion Claire Kalia. Welcome Lion Jennifer Smith!

Tail Twister We were all happy to see the return of our Tail Twister, Lion Herb. Lion Kent gave a Happy Dollar for his “37th” Wedding Anniversary. Happy Anniversary Lion Kent and Nancy!

Golf, Golf, Golf –

Tournament looks to be successful. We have 92 paid golfers.  With pledges the number increases to 111.

Work Party: 5 pm tonight at the Ratner home. You presence is requested. Lion Steve says there will be plenty of food and drink.

Donations: Lion Steve said we have $11,600 in donations but will likely be closer to $12,000 by the time of the golf tournament. He has pulled out six items to be saved for the crab feed next year.

Friday Storage Run: There will be a run to the storage locker to pickup supplies on Friday, 2:30 pm. Volunteers still needed.

Saturday Tournament: Volunteers needed beginning at 8:00 am. You can come in either through the front gate or Ellis street gate. You will need to show your drivers license and let them know you are there for the golf tournament. Since we only have two Leos committed to coming, Lions are needed for greeting and car-side service to bring in golf bags. Lions will also be needed to put the “goodie bags” and lunch bags in the golf carts.

Muffins and pizzas will be available (under cover) for the volunteers.

Golfers will have free access to the driving range beginning at 9 am.

This year Moffett will supply beer, cups, and ice. We will supply the jockey box. Lion Amy said an ice chest is needed for extra ice. There was a discussion on tipping. Lion Amy said she normally tips 20 – 25% but it will depend on quality of service. Lion Ray suggested we don’t burn any bridges, as we may want to return next year.

Scoring: Gary, from the golf shop will provide a computerized scoring form. Lion Dagi has volunteered to be in charge of entering scores.

Raffle will be during dinner. Thank You‘s will be just before the raffle.

The will be no placks at the golf tournament for the Bronze sponsors this year. They were not ordered in time. Lion Jeff will personally thank those Bronze sponsors who are not Lions.

Sunday: Volunteers are needed on Sunday for cleanup and return items to storage. Meet at Lion Steve’s home at 10 am.

Lion Mort said we needed to thank Lion Amy all her efforts. Thanks Lion Amy!! In response, Lion Amy wished to thank all those who have or will be helping out in the tournament this year.

The Board Meeting will be next Tuesday, June 21st, at Lion Al’s home. Thanks Lion Al for again volunteering to host the meeting.
