Type: Board Meeting

Meeting Date: Tuesday March 15, 2016

Meeting Time: 7:30 pm

Location Knox Compound

Lion Carl presided over the meeting in the absence of Lion Prez Jeff.

Also present: Lions Charles, Amy, Ray, Al, Bill, and Walt.  Buddy the grand dog made a brief meet and greet appearance.

1. PU101 – Lion Vijay has been confirmed as treasurer. Lion Mike R has been confirmed as his assistant. A Letter of Authorization was signed by the Board of Directors approving the change effective July 1st.

At the recommendation of Lion Charles an email request will be sent out asking for volunteers to fill the remaining club officer positions for the 2016-2017 year. After a 10-day notice the Board will approve a recommended list of officers via email. The results will need to be announced 3 times before an April 15th deadline. Still unknown is whether Lion Jeff wants to continue as president.

2.  District Financial Penalty – For the last 7 years District 4-C6 has not been filling the correct IRS forms. Therefore the District has been suspended. In order to be reinstated they will have to pay a fine. To help with the cost, 4-C6 is asking each club to contribute $20 of the fine. The Board has decided to table the request for the present time.

3.  Mobile Credit Card Processing – The Board approved a measure to try Pay Pal card processing system. We need to begin soon so it can be used for people wanting to register for the Golf Tournament. If we use an Iphone there is a 1-time charge of $129 to set up. Cost for data entry is 3.51% per transaction. Otherwise the cost is 2.7% per transaction.

4. Crab Feed

Change of Venue: Lions Eli, Jim, and Ray visited the Elks club in San Jose. The facility can hold more people and has a better kitchen. Downside is that they want $5,000 – $6,000. St Williams wants $2900 if we use their facility next year. Lion Ray has agreed to ask the Elks if they will accept $2,000. If they accept they can handle the bar and keep its profits.

Change in Partnership: The Board is unhappy with current 50/50 partnership with the Sunnyvale Sunrise Rotary Club. Based on their performa we will offer them a 70/30% partnership next year. Lions Jim and Al will set up a meeting with Lester.

If the Sunnyvale Sunrise Rotary does not accept our offer we will look for another partnership.

5.  Golf Tournament – Lion Amy reported that the golf cart issue is still unresolved. There are only enough carts for 120 golfers. The course can handle 144 golfers. Having Moffett Field bring in additional carts appears to be too expensive.

Because of rising costs, the club tournament committee is looking into changing to a weekday date, trying to go thought the Google Charity Program, looking for another venue, and/or raising the registration fee.

Lion Steve reported via email that the club is 2/3rds of the way to their goal on the donation request program.

6.  My New Red Shoes – The program is based out of Redwood City and improves the quality of life for homeless and low-income children by providing them with shoes and new clothes. The Board approved a donation of $300 assuming they have low administrate costs.

Good of the Order

1. Wounded Warriors – The Board voted to suspend our donation to them for a year because of a recent reporting that they have had lavish administrative costs of 40 – 50%.

2. Zone Student Speaker Contest – Our club level winner, Shankara Srikantan, a junior at Cupertino High School won the Zone 1 level contest on Monday night.  He will compete at the Region level contest on Monday evening April 4th, 6:30 pm at the Santa Clara County Registrar of Voters Office in San Jose.

3. Project Linus – Project Linus is scheduled for 6:30 pm on April 7th at the Odd Fellows Hall. Lynbrook High School Red Cross Club will join us in the blanket making. The Board approved $750 for supplies.

4.  NURU – The Board voted to donate $500 to NURU. Billy Williams, the Director of Marketing will be here on March 19-20th. NURU is a U.S. based social venture that equips the poor living in remote, rural areas to end extreme poverty in their communities. Currently they are working in Ethiopia.

5. 2nd Vice District Governor – Lion Ray mentioned that Thelma Batilo is running for 2nd VDG of District 4-C6 and would like our support.

6. Club Finances – Lion Al assured the Board that our finances are sound. However next years budget will be lower because of a decrease in income this year.

Mail Box: 1) The club received a thank you note from 1st VDG Barbara Chamberlain for our hospitality last week when she visited both our AM and PM meetings. 2) We have received a registration packet for the 2016 4C6 Convention May 11-14 at the Red Lion Woodlake Convention Center, 5000 Leisure Lane, Sacramento. Contact Lion Al if you are interested in attending.

1st VDG Barbara Chamberlain

The Silicon Valley Global Lions Club is being run by disabled adults. The club is doing community service work but needs help with skilled officer jobs like treasurer.

The average age of Lions club members is continuing to increase. We need to look for ways to attract new members, especially younger members. Our PM club is a good example of one way to do that.

Clubs need to focus more on community service.

PM Meeting Review

There was a good turnout with lots of children. The meeting had two visitors: Lion John from Mountain View Silicon Valley and 1st VDG Barbara Chamberlain. Lion Amy spoke on the Golf Tournament. Please see section below on Golf Tournament and attached copy of her Moffett Strategy Meeting Notes.

Charter Night

Lion Mort is in charge of decorations. It will be a St Patrick’s theme. Please contact her if you would like to help out.

It is not too late to sign up. Just contact Lion Ray. There are currently 48 members/friends plus children attending.

Lion John Smith has agreed to be our guest speaker. Several lions have been asked to give their take on our club.

Lion Charlie will be transporting the “Girls”, Charlotte and Marge.

3 Leos have signed on to look after the children.

Golf Tournament – Lion Eli

Lion John N is looking into putting our Tournament information on the District web page.

Parking may be a problem if Google busses are using the parking lot.

If you have been responsible for any of the Tournament operations in the past, please notify Lion Amy so she can include it on her flow chart.

Non Golfer Supervisors needed:

1) Oversee the operation of the beer tent.

2) Setting up and taking down all of the pop up tents.

3) Awards program

a. Scoring

b. Handing out of awards

c. Recognition of sponsors

Donations: Lion Steve says there has been no response to his request for help with the program. Please contact him if you are interested.

Credit Cards: Having the ability to accept credit cards would allow people to spend more money. Lion Al thinks Pay Pal offers the best deal. Lion Ray will check with a fellow member of the AJ Robinson program who may be able to offer some advise. Lion Eli thinks we should move on this positively.

Good of the Order

Board Meeting: We thank Lion Al for volunteering the use of his home for the March 15th meeting.

Project Linus: The event will be on April 7th at the Odd Fellows Hall. It will start at 6:30 pm rather than 7 pm as reported at last weeks AM meeting.

Lion Howie and Kathy: Lion Mort reported they have been moved to 2770 Moorpark Ave, San Jose. Visitors always welcomed. Lions Jeff and Scott are staying busy keeping up with their needs.

There will be a Guiding Lion Training Class this Saturday at the San Martin Lions Hall, San Martin from 9 am till 3 pm. The class is to train Lions on how to develop a new club or bring new lions into an existing club. DG Jan Miller needs a head count of those who will attend so she can order enough workbooks. Her email is janmiller2015@yahoo.com.

Student Speaker Contest: Lion Dagi reports that the Zone contest will be on Monday, March 14th, 6:30 pm at the County of Santa Clara Registrar of Voters Office in Berger Auditorium, 1555 Berger Drive, San Jose. Our club level winner, Shankara Srikantan has been notified and hopefully will attend.

Our club received a Thank You card from the Lions Project for Canine Companions for Independence. We made a donation to their Annual Opportunity Drawing. The drawing will be held in September and the winner will receive $2,000. Results will be announced in their newsletter, “The Lions Share”.

Congratulations to our winner, Lion Charlie.

Moffett Strategy Meeting Notes

February 23, 2016

  1. Food & beverage- Moffett has become very strict about this but I would like to continue to try to negotiate this. We have yet to be successful.

Beer- It is a MUST on the course, we all agree to this.  Last year Moffett charged us their price of the kegs plus 10% which paid for convenience (of it being at Moffett), cups & ice.  The total cost was $389.98.  We purchased 1 cheap keg and 1 higher end keg.  We will ask for being able to bring our own beer and give Moffett the 10% fee but if we have to buy the beer again this year (which is highly probable) we will get 2 cheap kegs.

Dinner- We need to accept that Moffett will NOT allow us to bring in outside food. There is a new kitchen crew so (fingers crossed) things could be better this year.  The feedback from the Thursday Golfers was that everything they have had there has been very good.  Amy will work with Jenni on the menu for this year.  Perhaps tri-tip or something from their regular menu?  The general thought was that quality matters and they need to know that.

Pizza- We want them to agree that this is ok- last year it was a sneak (they only allowed it for Leos) and it was a hassle to dispose of it off site.

  1. Carts- we pay for golfers at their rate. They need to have carts for 144 golfers with no additional cost to us

They only have enough for 120 golfers.  We will discuss if they have a way of getting more without a cost to us as we would like to be able to fill the course.

  1. They increased the fee by $5 & gave each golfer $5 to use in the pro shop. Do we want to ask for something different?

We had a lot of ideas here but we are not sure what they will do.

Pay for the pitchers of beer for each 4some?

Large gift certificate instead?

A few good prizes?

Betty waived this increase in the past. Is that possible?

  1. Prizes- all prizes need to be received prior to the day of the tournament.

We have been given 1 free round per 4some = 4 free rounds & they have given us markers & tees for our goody bags.  We would like these again and to get them prior to the packing party on Thursday.

  1. Security- hopefully we can have no list again.

Currently you only have to show an ID for the car driver and no list will be needed (YAY!!).  Both gates- Ellis & the Main gate are open 7 days a week.  Amy will work with Carl to update the map.

  1. Meeting date- when can interested people get together to have a formal meeting with Moffett.

4 of us will work together to find a date to meet with Moffett and discuss the items above.

  1. Other items that came up.
  • Forms- a few tweaks were suggested.  Al will work on organizing charities by categories and Amy will make the necessary changes and get them out ASAP.
  • Roles- we need to work on updating the roles.  Please email Amy what you do so that she can start updating things.
  • Awards- we need an awards table with all of the awards displayed so that golfers can see them and we need to give out awards early in the dinner before people start to leave.
  • Scoring- we need to do this ourselves this year like we have in the past.  Winning teams should get to take home their brackets.  We also need a scorekeeper that helps with the Awards (Claire?).
  • Do we have a sponsor board?
  • Amy will work to put last years’ pictures on google photos and get out to the club so that you can send them to your people when you invite them.
  • Flyer- Al made a flyer (per a Lion request). Amy will look it over and it will be sent out soon.
  • Mike Ringer- can he talk to Google about getting the course donated?
  • Somethings need to be fixed/updated on the website.  Amy will look into this.
  • We need a Pop-up take down crew- too many have been broken over the years.
  • Photos- can we set up a printer to print pictures that day for people to take?
  • We need a Beer Tent committee- set-up, staffing & take down.  Also, a truck should be out there so we can clean up as we go.

Lions Present: Ray, Walt, Phil, Steve, Bill, Don, Al, Jim, Dagi, Mort, Eli, Herb, Kent, John N, Ron, and Charlie.

Dates to Remember

–      March 15th, 7:30 pm, Board Meeting

–      March 19th, 5:30 pm, Charter Night, Blue Pheasant, 22100 Stevens Creek Blvd, Cupertino

–      April 7th, 7 pm, Linus Blanket Making, Odd Fellows Hall, 20589 Homestead Rd, Cupertino.

–      April 30th, 8 am, Fish-A-Thon, Stevens Creek Quarry, 12100 Stevens Canyon Road.

–      June 18th, De Anza Lions Golf Fundraiser, Golf Club at Moffett Field, 934 Macon Rd, Moffett Field.

Tail Twister Lion Herb went around the room collecting many happy dollars. Lion Steve wanted to thank Lion Ron for keeping up the storage locker. I announced I would be leaving Lions effective end of June.

Crab Feed

Lion Al has completed the Performa. The Sunnyvale Sunrise Rotarians took care of 35% of the tasks and Lions 65%. However we split the net profits about equally. Lions share was $7778.03. We will continue the discussion at the next Board meeting. Under consideration is whether we should go it alone next year.

A change of venue is under consideration. On Monday, February 29th, Lions Eli and Ray will visit the Elks Lodge in San Jose to see if that would be a feasible replacement for Saint William Church.

Charter Night

Lion Ray has asked that everyone, especially PM members, let him know if they will be attending Charter Night. Currently there are 34 people signed up. We will again be meeting at the Blue Pheasant Restaurant. Menu is beef, fish, fowl or vegan. There will be a St Patrick theme. Lion Mort has agreed to work on decorations.

We may need someone to pickup Marge and Charlotte. Lion Charlie had volunteered however he may not be able to make it.

Golf Tournament

Lion Eli reported there was a good turnout for the golf planning meeting last Tuesday. Some of the discussion items:

Moffett Field Golf Course has carts for up to 120 golfers although the course can handle 144 people. We also have need for golf carts for administrative purposes. One possibility would be to have some of the Lions walk and have Leos caddy for them.

Golfing forms need to be tweaked and the website needs to be updated. Because of company policy and insurance needs, all beer sales will be through the golf course.

Lion Eli said he would work with Lion Mike Ringer to meet with Google and see if we can get some concessions.

Lions Amy, Vijay or Ray should handle all correspondence with Moffett Field.

At the request of Lion Vijay, we will use the banner again this year rather than putting an article in the local newspaper.

It is recommended we have a pop up/take down crew for the beverage tent and also a banner committee.

Lion Steve & Ellen would like some younger members work with them on donations so they can eventually take the project over.

Good of the Order

Lion Mort reported that Lion Howie and Kathy have been moved to an Elder Care house and are doing reasonably well. We need to keep them in our thoughts.

Bicycle Fundraiser: Lions Kent, John N, and Eli have been mapping out some potential routes. They are very optimistic this can be a big fundraiser for our club. Earliest date would be late summer of 2017.

First District Vice Governor Barbara Chamberlain will visit our PM meeting on March 2nd and AM meeting on March 3rd. Please wear your yellows and show our club spirit at the meetings.

Project Linus is scheduled for 7 pm on April 7th at the Odd Fellows Hall in Cupertino. Contact Lion John N if you have any questions.

Opportunity Drawing

Congratulations to our winner, Lion Al!

Dates to Remember

–      Feb 23rd, 4:30 pm, Golf Tournament Planning Meeting, 1593 Bohannon Dr, Santa Clara

–      Mar 19th, Charter Night, Blue Pheasant, 22100 Stevens Creek Blvd, Cupertino

–      June 18th, De Anza Lions Golf Fundraiser, Moffett Field

Tail Twister Lion Herb went around the room collecting happy dollars. Everyone seemed to be in a good mood…happy for the weather, for unmentioned political reasons or just to be at the meeting.

Crab Feed

Lion Al said the percentage of net profit was over 50%, which is good. However he is not so happy that the total money taken in was down by half. He is working on John Smith’s performa and comparison with last year. He will share the results with us and Sunnyvale Sunrise soon.

It was recommended that we reserve a date with St William Church for next year, as a deposit is not necessary at this time. Lion Eli said he was willing to work with someone to go to St William and the San Jose Elks to negotiate a deal for next year.

Charter Night

Lion Ray said everyone needs to let him know whether they are coming to Charter Night. If you are coming please let him know what you would like to eat: beef, salmon, chicken, or vegan. The event will have an Irish theme. Lion Ray has asked Lion Phil, Lion Al and a few younger lions about their perspective on our club and how it has evolved over the years. Marge and Charlotte may need transportation. There will be Leos to help look after the children.

Golf Tournament

There will be a golf planning meeting at Lion Amy’s home, 1953 Bohannon Dr, Santa Clara on Tuesday February 23rd at 4:30 pm. If you want to get involved, please contact her. Lion Eli will send an email to Lion Vijay and Lion Mike Ringer to see if they will help negotiate with Moffett Field/Google. He said the forms need to be sent out soon so we can line up sponsors. Lion Eli also is proposing we do away with the banner and use the money saved to put an ad in the Cupertino Courier.

Board Meeting

Lion Al reported if we do away with our partnership with Sunrise Rotary we will need to set up our own mobile credit card plan. He has evaluated two: First Data and Pay Pal. Looks like Pay Pal can give us a better deal. People tend to spend more money if they can use a credit card.

Good of the Order

Bicycle Fundraiser: Lion Ken and Lion John N attended a meeting with American Diabetes Association this past Tuesday. They will investigate some ride routes on Friday. A circular route along Stevens Canyon Road is being considered. The route would go through Cupertino and could begin and end at Monta Vista High School. Because of corporate fundraising this could be a major fundraiser. It was suggested the first ride would likely draw 200-300 riders.

Maria: Maria will need to return to the Eye Center in San Francisco on Friday. Lion Dagi has volunteered to take her. Kudos to Lion Dagi for volunteering.

Fish-A-Thon: The Fish-A-Thon has been scheduled for April 30th. More information to follow

Bingo: It was pointed out that the Blind Center has a Board of Directors. Lion Ray will draft a letter to them expressing our concern over the demise of their Bingo fundraising program.

Project Linus: Lion John N reported that the next blanket-making event would be on April 7th.

SAY: The Social Advocates for Youth has sent us a thank you letter for our $250 donation. They provide short-term shelter, food, counseling, and referrals for youth and their families.

Opportunity Drawing

After some investigation it was discovered that Lion Kent was the winner. Congratulations Lion Kent!
