Tail Twister – Tail Twister Lion Herb went around and collected Happy Dollar’s from various Lions. Lion Herb had Lion Al roll the dice for his birthday and he rolled a nine.
PM Meeting Review – Lion Ray talked about the PM meeting:
• Lion Charles recapped the Board meeting. It was brought up that the club was not in compliance with LCI club naming guidelines so our clubs official name now is: Cupertino De Anza Lions Club Charities Inc. so we are no longer in violation of LCI guidelines.
• Lion Ray said Lion’s Dagi and John Noone were authorized $1,100 to update the clubs website with newer technology and has started updating the new website. Lion Dagi has asked for feedback on information now on the website or needs to be added or deleted.
• The PU-101 for Club Board Membership for 2017-2018 was read by Lion Prez Jeff and then was voted on and passed.
• Lion Amy, thanked the Lions that answered her survey and said there were still openings for committee chairpersons. She said we need to start getting golfers and sponsors.
• Buchser Career Fair will need 12 Lions tables on May 9 and picked up the 10th about 11:30. They also need two-three volunteers to help guide the presenters into the parking lot and where to go with their materials.
Charity Bike Ride – Lion John said that Lion Kent has gotten “Krazy George” to attend the Ride4Diabetes event and possibly the band “The Grateful Dads”. Lion John said he had been tasked to try and come up with a walking path around McClellan Park for individuals who do not want to ride. We will be offering an
early bird special with 40% off the registration fee if you sign up before the dead- line of April 30th. Lion Dagi is putting these flyers on our website as well as the District website. Lion Sundar has been working extremely hard on the Ride4Dia- betes website and it is looking great. He is currently working on getting all the social media pages attached to our Ride4Diabetes website to expand our adver- tising base.
Good of the Order – Lion Ray said he and Lion Eli took 4,528 pairs of glasses, 15 cell phones, 3 hearing aids, and a number of ink cartridges that we collected to the Vallejo. Lion Ray said that Lion Phil was the master at collecting the eye glasses.
Lion Ray mentioned that the new District Governor Bob Stewart was presiding over the swearing in of a large number of Nepalese people into the Lions Club both in Milpitas and Sunnyvale.
Lion Ron read a Thank You letter from both the YWCA and Rebekah Children Services for our kind donations which will make a positive difference in their fu- ture. These Thank you letters have been scanned and attached to the email.

Lion Ray announced the transfer of Lion John Koiski from the Cupertino Host Cub to DeAnza. He will be in the AM Group and will start attending meetings next week. Welcome Lion John K.

January 27th definitely out for the 2018 Annual Charity Crab Feed Classic, Awaiting confirmation on January 20th from the St. Williams facility. Expect confirmation answer on 5/24/2017.

Golf Tournament – In depth review of the Golf Sponsor Banner. Any Lion with info regarding players, sponsors or volunteers should nudge confirmation of involvement now. May is a critical month in Golf Tournament planning.

Ride4Diabetes – Lion Kent informed the meeting that Lockheed has expressed interest in supporting this effort. Also Lion Kent’s last listserv post contains information you can use to promote this event if you participate in the NextDoor app.

Tail Twister – Tail Twister Lion Herb went around and collected Happy Dollars or quarters from all in attendance.

Golf Tournament – Lion Al said that Lion Jen and Lion Claire were handling the registration and that we have a few golfers signed up but we need more so start beating the bushes. Lion’s Vijay and Amy are working on Google and OB Sports trying to get a lower golfers rate or donation for our tournament. Lion’s Jenni and Amy will be talking with Moffett to see what our food options are. We have a sponsor for one of our events which is $250. We need to start getting Tee sign sponsors (currently we have 3) and major sponsors now. Lion Steve said we have $1,658 in donations and about 70 % of requests sent out.

Ride4Diabetes Bike Event – Lion Kent said Lion Sundar is currently on business travel. Lion Kent said that District 4C-6 Secretary Becky Stewart is interested in helping promote our ride with other clubs. Lions Clubs International will be making a major announcement on July 1, 2017 about their support for the fight against diabetes. Lion Kent and John Noone have added a walking course to the event. Lion Steve will talk with J. Lohr wines to see if they will participate in the event. He said he would also talk with his contact at Wells Fargo to see about volunteers or sponsorship of the event.

Good of the Order –

Lion Ray asked if anyone knew what was going on with the Cupertino Host Lions Club as he has tried to contact them with no response.

Lion John Noone asked how he could get info on the new club members so he could update the website directory, he was told to contact either Lion Jill, Jeff, or Vijay as one of them should have the information.

Lion Al said he was going to attend the District 4C-6 convention in Santa Maria. He said we need a copy of the amendments to discuss how we should vote on them.

Board Meeting Minutes

1. Fiscal Review/Updates As Appropriate (see distributed handout for updates on charities and corporation)

  • Charities (foundation)

  • Club (corporation)

  • Anything outstanding?  Alzheimer’s Invoices still coming in. City of Hope, we wait until closer to the end.

  • Unbudgeted Donations: have we spent it all yet?  Have we paid the Lake Sequoia donation approved at the last PM meeting.

  • We do have more money, so we should spend it.

  • Vijay isn’t seeing any deposits for sign ups for the R4D.  Is it paypal? Or, Eventbrite?

*Before we approve such items (like Lake Sequoia) we do need to make sure we have enough money in the unbudgeted donation.  We do need to spend it, though, on causes that are close to our hearts and our members hearts.  This was something that didn’t have to be rushed, however, at the PM meeting, even though we had enough Board members.  Discussion to follow re: rushed voting electronically without enough discussion (see bylaws below)

2. 4C-6 Convention Attendance & Future Planning: the Knoxes will be attending in Santa Maria.  We got some late notice, but next year we check when the cabinet meeting is and check in by March if we haven’t heard.  For the PMers, we have to think about signing up for some of these additional activities.

3. 4C-6 Directory, Lion Year 2017-2018: Al has the artwork for our advertisements and he will take care of it (email coming from Allen King).  Vijay will send it back to him with a check.

4. Golf Classic 2017 Update – Lion Amy, Any Lion: nothing new for golf since the PM meeting, but we do have some new sign ups for golf.  Amy doesn’t feel an additional golf meeting is necessary because it all gets covered in the PM meeting.  Look for emails from Jen Smith regarding registration numbers.  Amy asks Gary what is the exact number and Vijay will ask Google what they think it is.

5. First Review Discussion, By-Laws for the Corporation (club entity): addition to by-laws via side conversation is waiting for email/electronic board votes for enough discussion (24-48 hours?).  Discussion of first page (1-18).  What is the difference between officers and directors. Directors have voting power and may have other duties, officers have duties.  Place holder for LCIF Director and Club Director for later descriptions of duties.  Consider the Membership Chair duty to be to greet and make welcome any new or potential members.  Last item would be the audit, which we don’t do.  We possibly need a Finance committee to do the audit.  Increase the signature checking on the checks to be for checks over $5,000.00 without a second signature, who is usually a VP. The finance/audit committee should be at least three people, one of whom is not the treasurer.  The auditing process needs a protocol, though.  Once the board approves this, Clair will look at the wording for legality, then the board will do a final approval.  Honorary Members and Life Members: why do they get a free pass?  Possibly Honorary-is a Lion who visits or was a past member.  A Life member is one who has been a member for so long that they have paid enough.

  • Recap, March ‘17 Board Meeting – Lion Charles recapped starting with a quiz.  We voted to officially change the name with a geographical piece, so we are not in violation, which we have been for a very long time.  Charles presented our circular event chart and explained its purpose.  Dagi and John are working redoing the website and Dagi was looking for feedback by yesterday.

  • Board Membership, 2017-2018 Lion Year, PU-101 – Lion Jeff read the names and positions aloud of proposed Board Members and the vote took place: Passed as Voted.

  • Update Charity Golf Classic 2017 – Lion Amy, thanked people for the survey.

Plan Weekend Events

  • A Few 4C-6 Remarks — 1st VDG Bob Stewart spoke about his local roots and talked about running on the focus of serving the community rather than fundraising.   He is promoting a hands-on service project “advertisement” to showcase what we do and for membership purposes.  He wants to point out a directory pet peeve that he wants to change having to do with the arrows facing the leaders.  He wants to have a collage showing service in action.  Lion Bob will also work toward having an online directory, including advertising.  His second focus is on the Nepalese communities in our local bay area.  People in these communities want to become more involved in serving the communities and Bob is meeting with these groups and they are working towards creating some new Lions Club.  July 28th is when the Lion leader is coming here to meet and help with the charters for these clubs.  Lion Becky said that we could buy an ad for the directory and/or getting space on the online directory.  She and Bob go to the Counsel of Governors, for the state of California.  She is the Diabetes Alert Chair and she focuses on programs for this disease.  Encouraging each club to be of service for diabetes and Becky is very proud we are doing the bike ride for this cause and she will help promote this for us.  *Note: we submitted our Thanksgiving Food Drive as our hands-on project.

  • De Anza Lions at the 2017 Convention – Jeff will send out an email about representing us at the Convention-May 3-May 6 and it is in Santa Maria.  The voting is on Saturday the 6th.  Lion Bob Stewart is also looking for a Zone Chair!

  • Buchser Career Fair:  We are needing tables for drop off and pick up: drop off at 3:00 on May 9 and pick up the next day, the 10th about 11:30.  We also need two-three people who could help us guide our presenters into the parking lot and where to go with their materials.  Finally, if anyone would like to speak about their career and be part of the actual fair-email Jill and she will get the details to you about the event.

  • Ride 4 Diabetes: Getting some fun “acts” to attend the event with Crazy George, possibly some San Jose Earthquakers, and maybe the band The Grateful Dads.  Going to be offering an early bird special. Lion Sundar has been working so hard to get the tech side of this up and running.  Jeff is working on Ride for Diabetes jerseys.  We have a few riders signed up but no sponsors as of yet.  We have the website, a corporate flyer, and individual flyers. Dagi is putting these flyers on our website.  But, if you know of anyone who wants to ride, we can get them a flyer. Great job, Lion Kent and all who have been working so hard to get this event of the ground.

  • Camp  at Lake Sequoia/YMCA: Mike would like to ask if we are interested in making a donation as individuals or a club.   Lion Ray L. makes a motion to sponsor at least one camper, Lion Amy seconds. Lion Jeff is calling a meeting of the board, Lion Amy motions that we fund one camper, at approximately 650$ from the Non-budgeted funds. and there were multiple seconds, Lion Ray and Lion Jim, Board Voted Passed.

  • Violation of Int’l By Laws because we don’t have geographical label for club (“corporation”)).  Lion Al is passing out a motion that we amend the “Club” name to “Cupertino De Anza Lions Club” instead of what it is currently (Lions Club of De Anza Corporation).  We will also want to submit the bylaws at the same time.  Seconded by Lion Bill.  Unanimously passed.

Whereas: Article III Section III of the International Association of Lions Clubs Constitution and By-laws clearly states “having more than one club, each club shall add a distinguishing designation to such name.”

Whereas: The Lions Club of De Anza Corporation is currently in direct violation of the above mentioned requirements as incorporated in 1980.

Resolved: that the members of the Lions Club of De Anza Corporation do hereby amend the Articles of Incorporation and specifically to read as follows; The name of this corporation is the Cupertino De Anza Lions Club chartered by and under the jurisdiction of, The International Association of Lions Clubs (hereafter referred to as the “Association.”

  • Al will send out his ideas for the updates and changes to bylaws in Word so please read before the meeting. This will take at about a year. Finally, we will have a standard letterhead, etc.

  1. Board 2017-2018 Membership – Lion Jeff, Any Lion

  • Lion Al could take Lion Bill’s place,who is willing to step down.  Lion John would like to join the board as a membership chair.  We need to solidify tonight the P.U. 101 so we can vote at the PM Meeting on April date.  Motion made by Lion Jeff, Lion Al seconded. Unanimously approved.

  1. Charter Night 2017 — Lion Ray:  April 1st, 39 adults and 12 children.  Lion Marlene Duffin, PDG will be a guest.  Inducting Kevin Heinrich (put this in the program).  The secret committee on awards will discuss but don’t think there are any coming up.  Lion Jeff will send Lion Al the President’s message to put to the program.  Lion Steve needs the list of who is eating what for the table cards.

  2. Calendar: circular calendar of events, can be put on website for members only page, sent to members so members can see what they can participate in, both large and small opportunities.This format shows the timeline for each event, as some take longer and some don’t.  This can also be used for membership purposes and for planning when an event is best placed for maximum participation.  On the web, it can have links which will take you to pictures and descriptions of events, too.

  3. New Website proposal– Lion John Noone and Dagi are working to update the website.  Spoke to Sarah S. who did the Ride site for updating.  Goal is to lessen the amount of pages, ease of updates, and should have more links, etc. We will have the latest version of Word Press, and some firewalls on our word and paypal accounts. John gave board an estimated proposal at $1100.00.  Lion Amy motioned that we accept this proposal and fund the new website.  LionJeff seconds the motion.  Discussion: how much of the 501c7 (the club vs. the charity) will use the site.  Members only part could be more useful, for forms, etc. after updates.  Do we have any analytics on how many hits there are on the Club member only vs. the public site?  OR, how many pages are for the corporation and the rest are charity. The Club has paid for it up to this point.  What would be the percentage split for justification? 80% Charity and 20% Club is amendment made by Lion Al to the previous motion.  Unanimously approved.  Lion John will make sure to forward the information to Sarah and then will give us the final cost not to exceed $1,100.00.  Dagi does need help in the content process, because it’s quite a bit to be edited.

  4. Saving the date for Crab feed should happen the sooner the better.

  5. Golf Classic 2017 Update – if we want to move the date of the Golf for the next year 2018 to move from Father’s Day, we need to look now.  The program is virtually the same, the placemat needs the sponsors.  Since much is on Publisher, but Amy and Clair don’t  have publisher so need to reconcile the software issue.  Vijay and Amy are working on google, who owns the course and OB Sports manages it, but google says we get the employee rate, which is 0 dollars. Gary the manager of OB says they can’t afford it this year.  Food has not yet been discussed, but Amy not feeling it’s a good idea to push the envelope with the pizza, unless provided by OB.  Committee heads are still needed.  These are jobs that are for non-golfers, such as photography, but we should just switch to iPhone pics.  The Outback may donate a coupon for a free appetizer.  Steve is the chair of donations, goody bag, etc.  IF anyone is getting donations, please let Steve and Amy know about it.

  6. Ride4Diabetes 2017 Update –

  • Good news: official endorsement of a SV leadership group (400 companies involved in this group).  This is an advocate group for government policy and because of the large donation needed for the AJ Robinson Van and this connects to help their efforts with lowering medical costs.  The announcement will go out to all the corporations in the next edition of their newsletter.

  • Interesting and/or Concerning News: Kent sees after contacting companies it looks like the marketing needs to go in from the top for the sponsorship and then the riders from there down. At the next marketing committee meeting, we need a corporate flyer for these leaders that is different than the flyer we give to riders to recruit.  Lion Mike R. thinks we need a standardized blurb for the event that we can send out to members to send out to their contacts in Linkd In or Facebook, etc.

Good of the Order:

  • New people on Board is good, Lion Ray thinks we should continue to get more people involved in the Board level.

  • Board needs to have the data and docs for all events.j

  • The 100 volunteers can get some Lion information in case it is interested.

Lion Tail Twister Herb went around the room collecting “Happy Dollars”. Most notable was from Lion Don who was celebrating his birthday. Lion Don rolled the dice and made a donation to the club. Happy Birthday, Lion Don!

Melinda Blaza Visitation

Lion Melinda Blaza announced she is running for 2nd Vice District Governor. She said she has had lots of leadership classes and wants to take the District to the next level. She also mentioned a little about her past. When she was 10 her dad left home about the time her mom died. She ended up looking after her two younger siblings. We thanked her for visiting our club and wish her well in the election.

Board Meeting

Kudos to Lions Dagi and John for their efforts to redo our website. The Board approved $1,100 toward the building of a new club website. Lion Al said 20% of the funds would come from the club budget, and 80% from the foundation budget.

Lion Al has agreed to rewrite our club’s bylaws.

The first announcement (PU-101) of our 2017-2018 Board of Directors was made. The slate of directors are…Pres: Jeff Ludlum, 1st Vice Pres: Amy Brindos, 2nd Vice Pres: Charles Ice, 3rd Vice Pres: Ray Lancon, Sec: Jill Eliason, Treas: Vijay Caveripakkam, Membership: John Noone, Directors: Carl Erickson and Al Knox. We thank all the members for their willingness to again serve.

Charter Night

The 48th anniversary of our club will be held on Saturday, April 1st at the Blue Pheasant Restaurant in Cupertino. Cocktails at 5 pm and Call to Order at 6:20 pm. Cost of the dinner is $40 for adults. 38 people are signed up to come plus one new PM member.

If you have not already done so, please contact Lion Ray as to whether you are coming, how may people you are bringing, and menu choices. If you have already replied, please check the spreadsheet Lion Ray has sent out to verify he has your correct menu order.

Lion Kent has put in a request for 3 Leos to help watch the 10 children who will be attending.

Annual Charity Golf Classic

Lion Vijay will talk with Google to see if he can negotiate a preferred rate for the golf course.

Lion Steve reported we now have $1,297 in donations. In addition Willow Street is donating 120 pizzas and Main Street burgers.

LCIF/ADA Bike Ride – Lion Kent

The event has received the endorsement of the Silicon Valley Leadership Group. This is significant because they are a lobbying group, which will send out information to 400 of their corporate members.

The corporate world is very interested in the event because of the opportunity for them to make use of the AJ Robinson Diabetes Screening Van. Bottom line for them is that early screening will help lower cost of health care. This represents a change in marketing for corporations, which are use to a top down rather than bottom up means of doing business.

Lion Kent stressed that our club is behind in our marketing attempts. All Lions need to email their corporate contact information to Lion Jeff or Lion Kent now. Dealing with corporations requires a long lead-time. We cannot wait until after the Golf Tournament to get started.

Good of the Order

The 10th Annual Odd Fellows Pancake Breakfast in memory of Herman De Ville will be this Saturday, March 25th at the Odd Fellows Lodge #70, 20589 West Homestead Road, Cupertino from 8 am to 11 am. All donations go to the City of Hope for cancer. Please help them out if you can. The Odd Fellows lodge has been very generous to our club in allowing us use of their facility for our Food Drive, Project Linus, and Student Speaker Contest.

Crab Feed; Fiscal, Other Review:   Final numbers are in from Lion Vijay.  We netted $15,640 for this year’s event.  Given that we did it alone (without Sunnyvale Sunrise Rotary), and had fewer guests (420 paid, 383 actually attended), and avoided chaos, the verdict is all positive.

With Lion Jim stepping back to advisory role only next year, and other key players also reducing involvement (Lion Al and Lion Mike), we need to gather the details of the operation from these key players, document, and then solicit the membership to take on new duties for 2018.

Part of this documentation effort will also include updating the sign-up sheet so staffing is more accurate. And, also instructing/supervising the Leos is improved for next year.

Charter Night 2017, two alternate dates are being considered, Sat. 1 April or Sat. 8 April.  Lion Ray is asking for input from the membership to set the date.

District 4C-6 Cabinet, other activities.  Lion Jeff has not been active as president in events, meetings, etc. beyond the club.  He will be inviting members to take his place at certain events as “special envoy”, if any such members exist and want to get a sense of the bigger picture of Lionism beyond the De Anza Lions.

City of Hope Road Trip, end of March, beginning of April 2017.   If any members are interested in going the club (not the charity/foundation) might be able to help mediate

some of that cost of participation.  Lion Al attested that anyone who’s gone down on the tour has been impressed by the work done there.

Ride4Diabetes 2017 Update; the website is up, and while there are some minor issues being worked though, the event is moving forward.  Lion Charles suggested that we ask for networking support to get corporate teams involved via LinkedIn.  Lion Jeff will be posting there for “share” / repost efforts.

2017-2018 Board Membership was discussed.  We’ll be asking the current board members about their interest in serving for another year.  There are some members who have expressed an interest in joining the board. Lion Jeff is willing to continue as president for another year if necessary.   We discussed a succession plan, with no firm decision, but some good ideas where shared.

The club 501-c7 by-laws need to be updated (last updated 1997).  We expect it to take about a year to go through the process for updating, reviewing, discussion, and ratification.   One of the main ideas is to synchronize the structure of the 501-c7 by-laws to be as the 501-c3 by-laws are (updated 2010).

The AM meeting time has been changed to 7:15am (from 6:45am) due to a new attitude from Holders management.  Other venues might also be considered.
