  1. Thanksgiving Food Drive 2017

Month and a half away (weekend before Thanksgiving).  Jen has stepped up to co-chair.  She’ll take care of the food HQ where we collect and distribute the food.  Majority of work is Saturday, volunteers doing 3-hour shifts asking for food donations.  Two different stores, Sat and Sun.  Google doc will be sent out for organizing volunteers.  160+ families are fed.  Great event with a long-running history (30+ yrs).  Feeding people right here in our own community.  Leos will also contribute.   

 

  1. NURU International – Billy Williams

NURU was started by a buddy of Billy who is a special ops marine.  He saw during the invasion Saddam’s army was recruiting farmers to fight.  Decided to start his own non-profit.  Philosophy is to go into poor countries where other non-profits aren’t going to  train local leaders and people (Kenya, Ethiopia).  Work mainly with small farmers to increase their agronomic practices.  They’ve served > 100k people in communities, helping to lift them out of poverty.  

 

We presented a check to NURU for $1k.

Two dates that voters have chimed in on, either 2nd or the 9th of December.  Evening potluck.  

 

  1. Crab Feed 2018 – Lion Steve

We need to find a new venue.  Considering a few new options like St Lawrence.  Fairly large facility + a stage.  Higher ceilings (better acoustics).  Dance floor.  Not as crowded.  We’re looking to seal the deal.  Lawrence and Cabrillo.  Feb 3rd.  Cost is about 400 bucks more than our budget (about 20 more people dining).  Two 250 seatings.

DAL Board Meeting MInutes: 19 September 2017

 

Omar’s Dream Run: 15 of October is the race and to volunteer go to omarsdream.org to volunteer.  Rick Sutton is delivery link. Mike Ringer is organizing and Thursday AM meeting will be a check to see who can help out, in lieu of quite a few who are gone during that weekend and usually help out. They can use our canopies but no membership booth. Pick up on Friday, deliver Sunday AM, and return Sunday afternoon.

 

Fiscal: taxes are filed, nothing changed since last board meeting.

 

Membership Moment: LCIF says we should do a membership survey once a year.  John passed around the potential form, created by LCIF.  May have 7 new members, so will need sponsors.  John will keep after them and then he can ask other members to sponsor whoever follows through.

 

Thanksgiving Food Drive: Jen Smith said she would step up to the role that John had which is overall organization, but Al commented that we need two people: one who wants to coordinate the hall with packaging. Amy is willing to help organize the hall, but we need someone who will be in charge for Saturday through Monday.  Jen Smith may already have this set up, so John will check with her. We won’t have car group, or their donation, so we may need to add in our own money to supplement.  We may need to cut back. By next Board meeting, we may need to put some additional money in for the Food Drive.  Focus energy on Food Drive at the next PM Meeting, see if Jen wants to have a pre-meeting.  

 

Installation/Fiesta: Looking at Christmas Party for installation-possibly the 2nd or the 9th.  Too much going on in October and November.  Don Lang is the Oddfellow’s Hall contact, so we could possibly have it there.

 

Student Speaker Contest: packet ordered, need a new chair.  Dagi is working on it, but needs a co-chair. The first contest has to be done by February.

 

R4D Quantitative Review: Al said he is not comfortable with the fiscal because he was told he has all the forms from Eventbrite, but it is  6-8 thousand less than what the fiscal says.  Al sat with Jen, Claire, and Jeff to see how the info was collected.  $885.00 came in on day of.  Donations collected: 4,900.00 (it includes the 885.00).  Eventbrite: 9, 230.00 which excludes fees. Eventbrite Registration: 4,100.18. Al says this matches his figures.

 

  • Revenue: 18, 242.18  (This is what Vijay put in the bank as a total).
  • Expenses: 20,749.81 of which 1, 250.00 should come back. There is about 400 in expenses that we may need to reconcile.  This is not going to swing the numbers one way or the other.  
  • Net Proceeds: negative 1,257.63

 

When it comes to expenses, there were not enough checks and balances, and there was no approval for most of it.  The questions is who was authorizing the expenses? No one, but we pay it because we don’t want to leave anyone with out of pocket problems.  Many were not invalid needs, but they weren’t approved.  The T-shirts and food was way out of line and so much was wasted.  We needed event day donations and we needed to sell the t-shirts.

 

R4D Qualitative Review: We are too small to pay for this on our own.  We originally did not have the numbers needed and we approved it anyway. It is not our usual plan to just say pay for whatever it takes, even if it was beyond our originally approval.  Right now, the way the event went, we don’t have any board ownership, the timing of the event in our calendar does not work.  It was objected at first that it wasn’t a DAL event, but we found a way around it.  Now, we don’t have our name on it as our event. People in our club have reported that this event is causing them to shake their faith in this club and even want to resign.  Carl, Al, Amy, and Jill are concerned about the wellness of our club.  There is resentment for how this was handled.  There is usually a full-time person who runs events like these.  This club is not a Ride for Diabetes club, we are the De Anza Lions and it changes our identity.  Many on the board and in the club felt like it was misrepresented from the beginning.  Yet, we had all the liability and all the work.  We have a common pool of donors (Vijay, Coppe’s, formerly, the Fimby’s) who don’t see our name on the event.  We do not want to lose fundamental members, even if we gain some members, too-this doesn’t sit well with many lions. We feel like there is some lack of transparency and the feedback was slow to be gathered.  We need to hear from everyone and we need to hear from them right away.  It’s also just way too much work for our club to do-people worked more hours than should be expected of any one Lion for an event.  R4D Feedback sent to John as of this board meeting:  he got feedback that was mostly 50/50 between positive and negative.  John got many ideas for improvement and many comments about what to do next year, most implied that it might happen again next year.  87 registers riders, 75 showed up, 14 paid their pledge.  John says that it wasn’t bike riding season, which is in the spring or fall.  John’s friend Randall said that we would need a hook, like a “Silicon Valley”.  

 

Side Note Ideas: Any event should be a club event, not sponsored by the larger club and not with it’s own EIN number.  No event should exceed its original approved amount, unless more has been approved by the Board.  If someone spends beyond that without approval, they will not get reimbursed.  

 

Could we have a survey summary by the next meeting?  John will provide this in advance of the next board meeting. Jill will compile her feedback from the board as well into categories before the next meeting.

 

The Board Response: The person who made the comment about staffing the membership booth with younger females, other than those who volunteered, should be spoken to about that behavior.

 

Good of the Order:

 

Motion: passed about the Lions Club International Foundation for $5,000.00 to LCIF for Hurricane Relief.  Passed unanimously.

 

Crabfeed Location:  St. Simons, meeting with two ladies, they have never leased out their kitchen before and they’ve never partnered before.  They need to speak with a few of their priests about the situation.  Since it’s a Catholic church, every single adult who is there if the Leos are there, or any young children, ALL adults (band, etc.) have to be fingerprinted. So, basically, we are still looking for a venue.

 

Silicon Valley Fall Festival: John thinks we need a VP of Public Relations to keep track of the events, do we have someone who could oversee this kind of job on the board?

 

Project Linus: Amy is working with Leslye to get this going in October.  It’s a great event and some potential members are looking forward to it and we have money budgeted for it.

Tail Twister – Tail Twister Herb went around collecting Happy Dollars for Lion John giving up his home for staging the Ride4Diabetes. There were a lot of “Sad Dollars” learning that this was Lion Walt’s last meeting and he will be leaving the club. Lion Walt you are a great person and it is really sad to see you depart but remember we are always here for you and family.

Ride4Diabetes – Lion Kent said he wanted to set up a google doc like Lion Carl does for the crab feed to get feedback on the Ride4Diabetes. Lion John said the accident form had been filled out by one of our SAG nurses for the injured bike rider. Lion Kent went to visit him and took him a card and flowers in the hospital and said he would be released from the hospital in a couple of days. The rider has a couple of broken ribs and a cast on his arm. Next on the list is to get all the items we borrowed back to those individuals and to get get all the other materials back to storage. Everyone was asking about Lion John Kolski making sure he was okay since we have not seen him in a couple of weeks. Lion Kent said we might pick up a couple of new members from the bike ride. Hopefully final numbers will be done in a couple of weeks.

Lion Ray said we need to concentrate on selecting a place for the Crab Feed since Saint Michaels is no longer available. Lion Ray said he will contact Tony at De Anza College to see about their facility for the crab feed.

There was a discussion about donating to the flood victims of hurricane/tropical storm Harvey. Lion Al said it would have to be brought up to the board for approval.

Lion Eli said we need a couple of volunteers to help out delivering tables, chairs, and pop up tents to Omar’s Dream Run on October 15th since he and several other of the Lion’s that usually volunteer for it will be away at that time.

Lion Dagi said her and Lion John Noone are getting ready to release the new version of our club website. Lion Dagi said she will send out a notice to the club
members so we can look at it and send them any comments on the new site.

Tail Twister – Tail Twister Pro-tem Lion Kent went around and collected Happy Dollars and Quarters.

Blind Center – Lion Al said the work party will start at 9:00 – 10 AM for those volunteers who can make it. Lion Al’s son-in-law Brian will be there and will get a chipper. Lion Al said bring loppers, hand sheers, rakes, brooms and he will brIng his pole saw. Lion Al has pictures taken before our work and will get pictures after we are done. We expect about 10 volunteers and hope to be done around 12 – 1PM.

Ride4Diabetes – Lion Kent said he went to Roberts market in Woodside on Saturday where large numbers of bike riders stop during their rides to pass out information on our ride. Lion Kent passed out approximately 200 information cards. We still need to concentrate on getting riders, walkers, and volunteers for our event. The YMCA is co-promoting our ride and will be sending out an email to all their members around the Bay Area. Lion Kent said the other issue is getting restaurants to provide lunch for the event. We need about 10 – 12 restaurants to provide a variety of food for the riders and volunteers. Lion Kent said Frontier Ford is providing five vehicles for the event and we will need to provide drivers.

Good of the Order – Lion Al said there will be a budget meeting at his home on Tuesday July 11th at 6:30 PM. Lion Charle’s has sent out a survey for club members to voice their support for a charity so the board can review their request and where to spend our charitable donations.

Lion Eli sent out an email concerning the Tail Twister Party on August the 6th and Lion Mike Ringers home. Please respond to Eli and let him know if this date works for you and you will be able to attend.

Tail Twister – Tail Twister Lion Herb went around and collected Happy Dollars for the golf tournament. Lion Bill rolled the dice for his 92nd birthday next year and rolled a five and generously gave the Tail Twister five dollars. Happy 91st Birthday Lion Bill. Lion Don Lang gave a Happy $5 for his brand new Honda Odyssey.

Camp Via West – Rick Weber Property Manager from Camp Via West introduced Don Fardan who is the new Director of Camp Via West. Our yearly donation check to Camp Via West was presented to Rick. Rick said that they are currently working on redoing the amphitheater and getting ready to take out bridge to allow easier access to the amphitheater for the disabled individuals. Lion Eli asked what the current cost for a membership is at the camp. Don said it depends on the amount of care the individual requires. The cost for a membership runs from $1,200 to $2,500 per week. Lion Al said he has participated in the Camp Via program for 36 years with Lion Bill serving for 26 years.

Golf – Lion Vijay said we grossed $33,204 and will net over $21,000 dollars once he receives all of the receipts for expenses. Final numbers will be available when Lion Vijay returns from his trip to India.

Ride4Diabetes – Lion Kent said he was interviewed by the Cupertino Courier for an upcoming article about the Ride4Diabetes to be run on August 1st. A new email blast was sent out this week. Lions Kent and Ron met with the American Diabetes Association and talked with them about cosponsorship of the ride. The YMCA is supporting our ride by posting our flyer posters in their lobbies in the Bay Area. We need to concentrate on getting food vendors, volunteers, and riders now. Lion Amy created a Google sign up sheet for club members to sign up for various activities. Lion Kent said we need to find someone to take on the registration effort. Lion Al said he is getting registration notifications but he can’t do it all by himself and needs the help or someone to take it over. Lion Ray said he met with De Anza College and got the paper work for getting the alcohol license. Lion Kent said we also need to concentrate on getting more corporate sponsorships. Lion Kent said Lion John Kolski is doing a great job in getting corporate sponsors. We also need a kids area to bring in families by offering games or face painting.

Good of the Order – Lion Al said we need volunteers to help trim bushes and do light clean up on Saturday July 8, 2017 at 10 AM. Several AM members said the would help. Lion Al also said there would be a District Cabinet meeting at the blind center on July 29th.

Lion Eli said he received an email from Lion Mike Ringer saying they could use some volunteers to help out with a local kids baseball tournament this Saturday July 1st for about 2.5 hours starting at 3 PM. Lion Eli said they we need help later in July also with date and time to come.

Lion Eli said he was putting out a date for the Tail Twister party at Lion Mike Ringers home on Saturday August 6th, we need to survey the club to see if this works for everyone.

Lion Steve said him and Ellen will be taking Maria to San Francisco for her next eye appointment.

Everyone said the meal and the service we received from Moffett was great. Several Lions commented on the photo’s taken by Lion Mary Brooding and how she sent them directly to a member of the foursome to be distributed to other members of the foursome which everyone thought was fantastic, great job Lion Mary. Everyone commented on the LED sign and thought it was great and it only used about one third of the battery power thanks to Lion Steve for getting the heavy duty marine battery. The TV presentation went well except he it was not really visible when it was outside but worked well in the restaurant. Lion Steve also bought an HP laptop and PowerPoint software so we could run it on the tv monitor.

Board Meeting Review – Lion Al made a motion for the club to support the LCI convention in Las Vegas in 2018 with a $200 donation in support of Lion Jack Epperson who is in charge of the convention. Decided the Budget meeting will be on Tuesday July 11, 2017 in Lion Al’s garage starting at 6:30 PM. All the members in attendance discussed the function of the Board.

Ride4Diabetes – Lion Kent said we are nine weeks away from the ride and we need more riders. An email blast will be sent out to our database of 450 riders. As of yet we have no corporate teams. Lion Kent said that Lion Amy is setting up a google spreadsheet to get members to sign up and support the event. The YMCA has set up posters in the facilities promoting our event. Lion Ray will meet with De Anza college to work out details for the event, Lion Ray will also give them flyers to pass around in support of our event. Lion Kent talked with the Cupertino Chamber of Commerce and they are putting us on their calendar.

Good of the Order – Lion Al will meet with the Blind Center today and talk about what needs to be done at the center. Volunteers will be needed to help trim bushes and do light clean up on Saturday July 8, 2017 at 10 AM.

Lion Eli said one of the golfers at the tournament has expressed an interest in joining the club. Lion Eli will follow up with him.

Lions Club International will have their 2018 National Convention in Las Vegas at the MGM Grand from June 29, 2018 thru July 3, 2018.

Directors present and comprising a quorum: Lions all Bill, Charles, Al, Amy, Vijay and Ray.

Whereas: The Lions Clubs International one hundredth anniversary convention is being held in Las Vegas, NV and the Cupertino DeAnza Lions Club has been solicited to provide a donation in support of that convention.

Resolved: The Treasurer is instructed to issue a check in the amount of $200.00 to the Lions Clubs International Convention.

Vote Duly Taken: Unanimous

The 2017-2018 DeAnza Lions Budget Meeting is set for July 11th 2017 at 6:30 PM at 217 N. Milton Avenue, Campbell, CA 95008-1022.

A brief preliminary financial review of the 2016-17 Annual Golf Classic estimated that net surplus to charity will be $16,204.00.

Ride4Diabetes 2017 Update; 34 registered to date, 29 committed volunteers, no confirmed Corporate Sponsors yet, 9.5 weeks to event, time to focus on riders and sponsors. A relatively urgent need for a Lion to assist in the online registration.

There being no further business to come before the this Regular Board of Director’s meeting, the meeting beginning at 6:30 PM was adjourned at 7:40 PM.

Tail Twister – Tail Twister Lion Herb went around and collected Happy Dollars for the Warriors and our guest Steve Hoy.

Golf – Lion Steve asked if anyone had a PC with PowerPoint that we could use for the TV with our sponsor presentation. Lion Vijay talked about the number of golfers paid and said he thought we would have about 95-100 golfers. Lion Steve said we had approximately $9,000 in donations for the raffle/auction. There will be a storage run at 1 PM to get all necessary items for the tournament. Set up at the golf tournament will start at 8:00 AM Saturday morning. Lion Kent said we would have 6 or 7 Leo’s for each shift. We also received a check this morning with a $500 donation for a Bronze sponsor from Silicon Valley Community Foundation. Lion Steve reminded everyone that the packing party was at his home tonight at 6:00 PM.

Ride4Diabetes – Lion Kent said we currently 26 riders and 30 volunteers signed up. Lion Kent talked about the ADA Tour de Cure on Sunday June 11th and he talked to several corporate teams with Google saying they would have 30 riders. He also talked with several other corporate teams for example Amazon, Hitachi, and others. Lion John Kolski said we have Momentum Chevrolet as a sponsor with a $1,500 donation and Garrod Farms will be a sponsor. Lion John K. said he is talking with several other possible sponsors. Lion Kent said YMCA is also a sponsor. Lion Kent said once the golf tournament is over we need to concentrate on the Ride4Diabetes event.
