Cupertino De Anza Lions Charities Inc.

Meeting Date: Tuesday, 19 December 2017           SPECIAL Time: 6:30pm

Location:  Knox Casa (217 North Milton Avenue, Campbell)

Meeting called by: Lion Jeff, Lead by Lion Al                         Secretary: Lion Jill

Members Absent w/Advanced Notice: Vijay, Ray, Amy, Jeff;

Board Members Attending: Al, John, Carl, and Jill

No Actions Taken due to lack of quorum.

Board Meeting Minutes

  1.   Review November BMM: reviewed.
  • January meeting to the 10th, Jeff called Tony and Alba’s to confirm.
  1.      New Members inducted;  On-Boarding Summary, Support Plan:  1/Joan Chin Lawler, 2/Muni Madhdhipatla, 3/Liang Chao, 4/Danessa  Techmanski, 5/Andrea Harris, 6/Shar Vigil, 7/Randall Braun
  • All new members were inducted.
  1.   Re-ignite De Anza Lions Year Summary, “activities wheel” concept?
  • One person needs to be in charge of the wheel and updating it with new events and updates on progress to fundraising events. We could look at the wheel at each board meeting.  Does it match up with our calendar on the website? And, one should drive the other.
  1.   Crab Feed 2018 Update? Steve wants to have a meeting on January 2nd at 6:00 pm. But John and Carl won’t be in town. Meeting will still be scheduled at that time.  Carl agrees that he will be in charge of kitchen and crew and salad prep.  Carl wants to go back to the site with Steve to get a plan.  Carl will set that up with Steve.  Al has ticket sales and reservations.  Al will talk to Jim and Mike about crab and refridge truck.  Facilities set up and table set up -is it Lion Ray?  They are all round tables this year.  We need Leo volunteers and Kent said we have over 100 members.  That Leo club has tentatively agreed to handle the volunteers.  Can we convince Lion Amy to help guide the volunteers and Kent will get them there.  Lion Steve will handle the keys, the raffle, etc.  and Steve will handle the band (on a stage) and the sound. The purchasing of costco, etc. is usually Jim and Al, with assist from Carl.  Al will send out a notice about the crab feed meeting.  Ticket sales for first seating is about 100, that are actually paid for, with commitments on another 50.  No tickets sold for second seating yet.  Emails will be sent out soon to people who participated in our previous events about the Crab Feed.  Question about sending emails to R4D participants would maybe go through Sundar since he has those emails.  Danessa wanted to give some flyers (hard copies) to give to her Cupertino City Council.   John will get some from Steve and bring them to Danessa because January 10th is a little late.  John would like to have a table with brag board and applications at the Crab Feed.  Lion JIll can sit at the membership table for the first seating at 4:30.

  1.      R4D 2018 Proposal Status: we don’t have an organizational proposal that John thinks is going to work, since Kent is bowing out.  Randall declined the offer to lead it.  John volunteered to lead it, but doesn’t think he is the best fit for that position and  that leaves two open positions that no one is willing to fill.  Is there any way this will change by next board meeting?  We will voice to the club that the ride is in peril because we haven’t started with planning and needed to and have no viable plan and leadership.  Table this item until next board meeting, but unless something changes there will likely be no proposal.
  2.      Charter Night 2018 – date considerations?  Good Saturdays in March are the 10th  and the 24th. Carl will send out an email to see which is preferable to the whole club.
  3.   Permanent Board Meeting Time Change, 7:00pm to new time 6:30pm? Jill will send  an email out for an electronic vote for the time change for the board meetings.
  4.      Good of the Order: none!

Tail Twister – Tail Twister Herb collected Happy Dollars or fractions thereof, but definitely multiple happy dollars for Lions Carl and Jenny Erickson, as each of them got a prestigious award during the Pac 12 Championship. Lion Don commented that the 49ers are back, and Lion Phil was happy that his car has 283,000 miles.

New Members – Lion Ray read out a letter from IPP Bob Curlew (LCI) who complimented our club for reaching the membership goal of 2016-2017. The letter was accompanied by a patch for which Lion Herb will find a suitable place on one of our banners.

Special day today – Lion Ray reminded the fellow lions of Pearl Harbor Remembrance Day today

Lions Holiday Party and Installation – Lion Prez Jeff has sent out another reminder with details of this Saturday’s event. The party starts at 5:30pm, with the induction of new members scheduled for 6:30pm, performed by our district Governor Bob Stewart. Food will be catered and delivered by Maggiano’s, but BYOB. There will be 55 adults and about 12 kids. Lion Kent might have to do a solo on the Piano, as the Blue Bells are not available. Be prepared to share in the singing! Lion Steve or Lion Al will bring name tags for the new club members – all Lions should wear their name tags to make it easier for the new members to put names to our faces, too.

Crab Feed – Lion Al reported that 72 tickets for the first seating have been sold, with 50 – 70 additional ones more or less committed. He is not worried about the first seating. No tickets have been sold yet for the second seating, so we have to push that seating with ads on NextDoor and a flier on the district website. Reserved tickets will be ‘reserved’ until the first of the year, when they will be sold to whoever gives cash to Lion Al. Both Lion Al and Steve mentioned that the facility is really great, even bigger than the one we used in the past years; parking will be no problem; the church will handle the parking for the 5pm mass. Lion Steve has received donations worth $ 3,684, with the biggest item being 2 tickets (@ $ 155/ea) to a Warrior Game in March, and a case of very good wine donated by Paul & Eddy’s.

Volunteer Hours – Lion Ray committed to verify with the district how volunteer hours should be reported. Lion John will investigate if there is a place in the (private) club files on our web site where each lion could report his/her hours any time.

More updates from the PM meeting – Two of our new club members, Andrea and Muni attended. Lion Prez Jeff reported from the latest India Eye Camp. See also our website (http://deanzalions.net/latestnews/ ).

Update – Lion Eli is doing ‘pretty good’, and will be trying to get to the Xmas party for a little while. Ex-Lion Walt who had planned to attend will not be able to make it as he broke his shoulder. Best wishes go to these lions for speedy recovery.

Change of ListServ – Lions Sundar and John are in the process of changing the group email address and all included fellow lions’ email addresses, from Yahoo to Google groups. Most lions are already receiving the group emails with the googlegroup email; Lion John will make sure that all old and new members are included and that the directory on our website is in synch.

Good of the Order –
Lion John Noone will add an organization chart to the Bike Ride proposal that he already submitted at the last Board meeting
Lion Mike Martin’s truck was damaged during the food drive; the repairs will amount to approx. $ 600.00; to be paid out of the Admin account
Lion Don would like Lion Treasurer Vijay to cut a check in the budgeted amount ($ 500.00) for EDGE, one of the charities we support again in this Lion year. More on EDGE here http://www.edgeyl.org/
Lion Al reminded the AMers to donate to the Christmas fund for our servers at Holder’s Country Inn during our morning meetings. He was subsequently pleasantly surprised by, and grateful for an influx of generous contributions.

Opportunity Drawing – Congratulations: Lion Ray won

Respectfully submitted by:
Lion Dagi (pro-tem for Lion Ron)

There was a discussion about an email blast out to the previous crab feed attendees along with the golf and Ride4Diabetes email lists to promote the Crab Feed. Lion Ray said the Monta Vista Inn was buying a table and donating wine to the Crab Feed. Lion Kent said he has talked with the Leo’s club and they are they having a large number of volunteers. Board Meeting – Lion Al said there was not a quorum at the meeting so there was no action taken on the items discussed. There was a discussion about changing the time of the Board meetings to 6:30 PM. This will be proposed at the next Board meeting. It was also brought up that the new Google list serve does not allow members to send a message to the board members as a list so it is proposed at this time if you have an issue you want brought up to the board send it to one of the Board members and they will forward it to the other board members. There will be a vote on the continuance of the Ride4Diabetes event next year. There will be an survey sent out for our Charter Night dinner to pick a date of either March 10, 2018 or March 24, 2018.

Jen met with Fimbys to get any advice on Oddfellow’s hall.  Spreadsheet will be passed around.  Still need volunteers for the two main stores.  The Leo volunteers usually help out at the stores, but Jeff will reach out to the president of the Leos.  Mary encourages everyone to volunteer at the store because it is easy to approach people, not scary at all. We need about 60 boxes and flyers for the stores. On the donation list, it would be helpful to have our website on the flyer.  We can tell them, but written down is better. Steve will add the address to the next 1,000 flyers he makes.  For Monday morning, the 20th, we need 10 SUVs or trucks for delivery. We need to replace Ron Ahearn on Saturday and Sunday, to work with ELi, for set up at store #2.

  4.      Summary Brief, October Board Meeting – we did not have a forum, electronic voting came afterwards for supporting website, new members, damage to Mike Martin’s car.  Three new members, we will be inducting new members into the club at the Holiday party. Randall Braun , Andrea Harris, Sharleen Vigil ,  and Joan Chin (also from Better Cupertino!).
  5. Questions about man who was hurt on the bike ride-broken arm was the major injury and just bruises other than that, as was reported by John Noone. Our guest, Vanessa, heard that the injuries were worse than that and was concerned.
