Review of Election Couriers – Lion Al reported things went mostly smoothly. We had 4 people directing traffic and 3 teams that worked as couriers. Should have made about $700. It was a lot of fun. Thought we should do it again for the general election in November.

City of Hope: Lion Ray noted that DeAnza Lions Club has qualified as a life member of their organization and displayed a large framed picture given to our club in appreciation. He strongly recommended that any Lion visiting in Southern California should stop by for a visit. They have done wonders for cancer patients. Lion Ron mentioned it was a great organization. His nephew spent 4 months at their hospital in Southern California and is now home doing well.

PM Meeting Review

GOLF TOURNAMENT: Lion Vijay has been in contact with Mike Fisher, one of the senior people at Google. They are very interested in the community involvement of our club and would like to help. They spoke with the vendor at Moffett Golf Course and now the vendor is willing to make some concessions.

Lion Al reported there are 76 paid golfers. Lion John is projecting we will end up with 97 golfers. There is still room for more. Please continue to invite your friends and other golfers.

Volunteers needed to load tables into Mike’s truck on Friday and return them to storage on Sunday. Mike is out of town but arrangements have been made for the use of his truck.

On the day of the tournament volunteers should arrive between 8 am and 8:30 am. Donations have been very successful. We currently have $11,000 in donated items with 22 items for the Silent Action. Lions are encouraged to get there early and look over the items. If you see something you like, make sure to enter a minimum bid to get the bidding going.

Lion Steve is planning on making 100 – 110 goodie bags. There will be donated muffins for the volunteers. Plans to ask for 10 – 20 donated pizzas, which will be passed out discreetly at the tournament. With high schools graduating this week, and DeAnza College scheduling finals during the time of our tournament it will be difficult to get enough Leos. We will need Lions in the parking lot to assist with greeting and helping out people as they arrive.

POSSIBLE NEW MEMBER: Jan Smith, daughter of Lion John Smith and sister of Lion Claire Kalia has expressed an interest in joining our club and taken on application. She will be helping out at the Golf Tournament. If you see her make sure to say hello and make her feel welcome.

Camp Via West – Last night at the PM meeting our club presented Via West representative, Janelle Adams a check for $2500 to aid those needing financial assistance in attending the camp. If you know of someone who wants to go to camp but needs financial help they should contact Ms Adams at (408) 243-7861.

Lion Bill reported the annual repair and painting went well. We wish to thank all who participated… Saturday: Lions Al, Ray, Ron, Don, Steve, Mike, Herb, and Bill. Sunday: Lions Ray, Herb, Steve, Ron, Dagi, and Bill.

Hughes School Picnic – Tomorrow, Friday, June 3rd is the annual picnic for the 3rd graders at Kathryn Hughes Elementary School. The picnic with is at Fairway Glen Park, which is adjacent to the school. Please be there between 10:15 and 10:30am. Students will be arriving at 11:30 am. Bring a hat and a folding chair. Weather will be warm.

Golf Tournament – Lion John announced we now have 81 golfers…37 pledged and 44 paid. We still need more. Please continue to ask your friends and other golfers. It appears we have between 14 ½ and 16 Tee sponsors.

Lion Al expressed his appreciation to Lion Eli and Lion John for setting up the foursomes.

Lion Steve said we have $10,600 worth of donations but is estimating we will end up with $11,000 worth of donations. 10 people have signed up for the work party on June 16th at the Ratner home. Let Lion Steve know if you will be coming. Lion Steve and Ellen have offered to donate 4 bottles of wine to each of the winning foursomes. Thank you Lion Steve and Ellen!

Lions Jenny and Amy are still negotiating with Moffett Field. Lion Steve recommended if we can’t bring bagels to the tournament we should donate them to a food distribution charity such as Sunnyvale Community Services.

There was a discussion as to how many pizzas that should be brought. Consensus was we should bring 15 rather than 10.

We discussed the need to find another venue for the golf tournament next year. Lion Ray said he would follow up with that.

Lion Kent said since school will be out, only a few Leos have signed up to help.  He will check with DeAnza College Leos, Cupertino Host Leos, and the Boy Scouts. If you have any ideas for student volunteers, please forward the ideas to Lion Kent.

We will present a check to the representative from Camp VIA at the next PM meeting.

FINANCIALS: Lion Bernie is moving to Oregon and no longer has signature authority. Lion Vijay has taken over his responsibilities and will be sending out quarterly statements. His address will appear on future invoices. Make sure you address your payments to him.

GOLF UPDATES: Food options for tournament are limited. We have agreed on the taco bar probably at a cost of $15/head. We need your help in getting golfers and sponsors. Lion Kent is working on getting some Leos. Lion Dagi still needs help with the scoring.

Lion Eli indicated the golf committee should get together and finalize plans as to what is being done by whom.

Lion Al says we now have 47 golfers of which 23 are paid. We need 60 paid golfers to make this tournament financially sound.

Lion Steve reported he has received over $10,000 in donations and has 20 items for the raffle. The work party will be at his home 5 pm, on Thursday, June 16th. Please RSVP if you are coming. He needs to know how much food and drink to get.

SUMMER TAIL TWISTER/INDUCTION PLAN: Will be scheduled for July.

CHARITABLE BUDGET: It was decided the $1,500 budged for Wounded Warriors would be put on hold. The funds will be carried over to next years budget and possibly given to another veteran’s organization.

Camp Via – Annual maintenance will be on May 27 – 28. On May 27th work will begin at 1:30 pm. Bring wire brush and hammer. We will be making repairs and power wash. On Saturday, May 28th painting will begin at 9:30 am. Bring paintbrushes, rollers, trays, and rags. Volunteers are needed, especially on Saturday.

We will present a check to the representative from Camp VIA at the next PM meeting.

Career Day – Buchser Middle School career day was held on Wednesday, May 18th. There were 35 presenters. Thanks to all the Lions who helped set up and take down the tables.

Good of the Order

Crab Feed: It doesn’t appear that we can save enough money by changing venues. We will return to St William Church next year . Still no word from Sunnyvale Sunrise as to whether they want to partner with us again next year and our proposal to change the split on income.

Type: Board Meeting

Meeting Date: May 17, 2016

Meeting Time: 7:33 pm

Location: Knox Compound

Lions present: We welcomed back Lion Prez Jeff. Also present were Lions Ray, Bill, Al, Amy, Charles, Vijay, and Walt.

1. FINANCIAL REVIEW/UPDATES – Financials are in good shape and on target. Lion Bernie no longer has signature authority. Lion Vijay and Mike R have signed on the account. Next years budget will likely be affected by any revenue shortfall from the 2015 – 2016 year.

2. GOLF UPDATES – Lions Amy and Jenny had a meeting with Gary and new cook at Moffett Field. Both thought the new cook was difficult to deal with. At a price point of $15 the only options available to us are: 1) sandwich bar, 2) taco bar, or 3) pasta. No oven will be available. Beer will be at their cost plus 20%.

The Board agreed with Lion Amy that the taco bar would be best option. Lion Amy will see if Moffett Field will add veggies and/or Spanish rice to the menu. She will also see if we pay $25 each and serve only players what kind of deal can be made.

Vijay will follow up with his contacts at Google to see if they can pressure the golf course to offer us better concessions.

Currently we have 60 golfers. Need 75 or 80 to break even. Also need sponsors and tee sponsors.

Kent is working on getting Leos. Dagi needs help with scoring, h opefully someone with experience.

3. DISTRICT CONVENTION – Lions Al, Ray, Phil and Walt participated in the Saturday AM voting. Convention was held at the Red Lion in Sacramento. Lion Al noted the attendance was significantly less than in years past. General consensus was that the convention was held too far for more people to attend. Board thought it should be held somewhere back in our district.

4. TRANSITION

a. Treasurer: Our new treasurer and the assistance’s signatures now on our accounts. They will focus on club side first, quarterly billings. Lion Vijay pointed out the new treasurer’s address is now listed on the invoice. Make sure to address your mailing accordingly.

b. Secretary: Lion Al has passed the Club by-laws to the new secretary.

5. Summer Tail Twister/Induction Plan – Will be sometime in July.

6. AWARDS – The Board had a discussion as to who should be involved in the nomination process and what criteria should be used. Lion Vijay knows of other clubs who would be willing to share their ideas with us.

We also are looking into other awards such as the Progressive Melvin Jones, Helen Keller, Student Speaker and AJ Robinson.

The Board then approved several Melvin Jones awards for long-term service to our club and will be given to both Lions and non-Lions.

7. CHARITABLE BUDGET – It was decided the $1,500 budged for Wounded Warriors would be put on hold. We would prefer to carry over the funds to next budget year and give to another veteran’s organization that charges a smaller administrative fee.

Golf Tournament – WE STILL NEED GOLFERS AND TEE SPONSORS. We have 10 Tee sponsors and could use another 10. Lion Eli says we have around 60 paid or pledged golfers and need at least another 20-25. Vallco has come in with a Silver sponsorship and the Fimbys with a Bronze. We sent out a flier to all the other clubs in District 4-C6 and hopefully will bring in more golfers.

Lion Eli noted there were some concerns that need to be addressed:

1) Food & Beverage: When is the dinner menu going to be set? Who is running the beer tent? What are we doing with pizza? Who is contacting B.J’s and what are we asking for?

2) Scoring & Posting: Who is handling scoring and posting? Lion Dagi said she could help.

4) Tee Sponsors: Lion Ron needs the names early as possible in order to make up the signs. Lion Eli agreed to send him the names of current sign-ups.

5) Lions Al, Eli, and John are coordinating golfers, and sponsors.

When you signup please indicate that you are part of the De Anza Lions group so your pay can be put in a single check and go to our treasury.  Also let Lion John know so he can send in a composite list of everyone from our club.

Good of the Order

Review of the PM Meeting – It was an exuberant meeting. Club welcomed back Lion Prez Jeff who will run next months meeting. Kudos to Lion Carl for filling in for him for the last several meetings.

Crab Feed – Lions Steve, Carl, and Eli visited the Portuguese Hall in Santa Clara to see if it would make a suitable replacement for St William Church. General consensus is that it could work but would require more labor. Seats 500 people but dining and social activities would be on two different levels. City of Santa Clara requires security. Parking may be an issued. Committee would like input from Lion Jim who is away attending to health issues of his father. Committee thinks we would seriously consider if we could negotiate a cost less than that of St William Church. St William is asking $2900 to use their facility next year.

Still no word from Sunnyvale Sunrise Rotary Club as to our proposal of 70/30 split of revenue on future crab feeds.

Golf Tournament – GOLFERS and TEE SPONSORS NEEDED. Lion Al said we currently have about 50 golfers. It takes around 80 paid players to break even.   Lion Kent will arrange for the pizza and Lion Scott will pick it up.

A large part of that is from the 110 coupons given by Willow Street Pizza for pizzas and burgers.  The coupons will be put into the golfer goody bags. The work party will be at the Ratner home on June 16th at 5 pm. Lion Steve and Ellen will supply the ribs, beer, wine and soda.

Foundation finances are also in good shape. Foundation distributed $12,343 in 3rd quarter. Expect to distribute $12,000 4th quarter.

Budget of $2700 for Camp Via will allow us to pay for 3 sponsorships in addition to annual painting and minor repairs. Lion Bill has been tasked to bring a representative from Camp Via to the next PM meeting to allow our club to make a presentation of the gift sponsorships to them at that time.

$1500 donation to Lions group in India. Dr Byakod will be visiting in June. We hope to give him a check at that time.

$1500 donation for Wounded Warriors has been tabled until next Board Meeting. The Board is looking to give the money to another veterans group that will do a better job of supporting our vets.

Lion Al stated the Club/Foundation would meet all obligations this year. However obligations will be impacted next year by any fundraising shortfalls.

CITY OF HOPE – We will be donating $1287.50 to the City of Hope in honor of retiring DG Jan Miller.

GOLF AND TEE SIGNS – Fairwaysponsors.com has offered to provide us with 60 signs for golf carts and large sponsor banner for $330. They also do Tee sponsor signs. The signs are under consideration for next year.

Lion Carl suggested we consider the Portuguese Hall in Santa Clara for future crab feeds. The hall is large and can accommodate 500 – 600 people. Lions Carl, Jim, Eli and Ray have been selected to check it out. Lion Steve said there is limited parking at the hall which could be a problem.

Golf Tournament – Lion Steve said we could have as much as $11,000 in donated items and gifts in kind.  Lion Al said we currently have several major sponsors but we still need golfers and tee sponsors.  Moffett Golf course manager Gary is looking at hiring a new food manager. Lion Al said he would talk with Lion Amy about when the next of meeting will be held.

Lion Steve talked about the problem we are having with the Eye collection station at the Santa Clara main Library.

It appears that we will be losing several members of the club in the near future so we all need to pitch in and try and recruit new members.

Lion Bill said the work detail at Camp Via West on Friday May 27, will start at 1:00 PM instead of 12:00. No change for Saturday’s time.  Friday we will do power washing and cleanup with painting on Saturday.
