Per Claire:  Really great event, as always.  Very well organized with a good turnout.  They made approx. 65 blankets.  We spent $584 (9 / blanket).  The blankets are used for children in trauma situations.  NICU, cancer ward, hospitals, etc.

  1. Debrief, Student Speaker Contest 2017

Ron A.:  Contest was cancelled, as they didn’t receive responses from the speakers.  First we haven’t had since 1980.

  1. Board Membership, 2017-2018 Lion Year

Charles:  Couldn’t come to any discussions.  Al, Jeff, Bill and Charles.  Already looking forward to Crab Feed for next year.  Lion Jim would like to pull back a bit.  We’re looking at taking all the duties he contained and break it up a bit across multiple volunteers.

District 4C6 events –  If you’d like to attend, go as a proxy.  Next one coming up is in Monterey.

Issue of board members for next year.  We need volunteers.  We’ll open it up to the entire club.  We’ll ask if existing members would like to return, like Jill.  Please let Jeff know if you have an interest.

Finally, by-laws for the corporation.  Some things are out-of-date with current laws.  Lion Al will take point to update the by-laws, with legal assistance from Claire.

  1. Reminder, Annual Trip to City of Hope

Care center in SoCal.  Lions International has been supportive a long time.  From our district, there has been an annual bus trip down to City of Hope.  It’s in April – an entire weekend of fun and comradery.  $ from the donation boxes, we make a donation every year.  Sign up!

  1. Update: Ride4Diabetes 2017

1.5 yr of prep, 100s of hours invested.  Log on to ride4diabetes.org – very beautiful site.  A lot of feedback from cyclists that this all looks terrific.  Everything is automated through the site – registration, receipts, bar codes, etc.  Maps are downloadable to mobile devices, GPS turn-by-turn instructions, etc.  Very nice.

Look at your LinkedIn site – send along names to Jeff.

Kent found a meetup site that is dedicated to events and people that support diabetic causes.  They will be supporting our cause.

Volunteering opportunities – there is a volunteering section on the web site.  Volunteers get a free t shirt.  We’ll place an add on NextDoor to the 1800 Cupertino members.

This event is being sanctioned by NB4.  LCI has also been in contact with wanting to follow this.

  1. Update Charity Golf Classic 2017, 6/17/17 (Father’s Day Weekend)

Amy:  We need several committee heads.  Please see sign-up sheets for available duties / positions.

There will only be 4 divisions, which will be updated on the sheet and PayPal.

  1. Lion Hope, from North Valley SJ Lions.  Been a lion for 39 years.  We commend you for all the work you do.  Our biggest project this year is we’re having a 50’s Sock Hop at the Blind Center.  If you’d like to participate, please look us up.

2.  Charles:  regarding the flooding in SJ, if you are concerned or have the ability to help, Lions are going down still each day to help.  It’ll be 6-7 months before everything is cleaned out and habitable again.  Let Charles know if you are able to help in some capacity.

Silicon Valley Community Foundation is taking donations for the effort.  Check it out.

3.  Amy:  I have calendarized events as the turnout for Linus was so low.  Will distribute calendar.

  • Tail Twister... ”Gather the booty!” – Lion Carl or Proxy: lots of happy dollars for new lions, little lions, and the awesome Crab Feed, Jenni for all the above and missing the meeting last time. Thanks to Lion Jim for all the extra work in place of the Rotary.

  • Crab Feed 2017:  Jeff update is that two people from Wells Fargo, and 8 others, brought in by the Ratner’s niece, on the dishes in the kitchen and they had fun and did an awesome job.  $18,185.00.  The silent auction, we sold out of extra crab and wine. Even without the final deductions, we did a larger amount of money than in previous years.  Claire and Jen running the auction was great and emceeing that part of the event.

  • Project Linus – Thursday night, 6:30.  Bring a sharp pair of scissors to cut the materials.  Last year Lions made 70 blankets in 90 minutes.

  • Student Speaker Contest 2017: next week on Thursday, the 9th, Bob Deunger was looking for more speakers, but we don’t have any others.  Any questions about speakers, judging, or volunteering, contact Dagi or Walt.  Volunteering show up at 6:00.

  • Ride4Diabetes 2017: Lion Sundar is finishing with the launch of the website.  Figuring out a few kinks.  People can sign up as a team or individual.  Corporate teams are the most lucrative, but anyone can form a team as well.  If you know any contacts at companies, or through Linked In, please get in touch and have them put it on the calendar.

  • Golf Tourney: Amy will be sending out information now that the Crab Feed is over.

Mike R. appointed to the board of directors in YMCA in Visalia, there is a work weekend coming up that is fun in Sequoia National Forest, for the whole family. Keep an eye out for an email for the weekend that will take place in June.

-National Honor Society Student named Josh: he had a rough start, but ended up having such a good time, and he pulled in around 800.00 for the raffle and just loved it.  It would be nice to contact Kent and get him into the Leos at MV.

De Anza Lions Board Meeting MInutes: January 17, 2017

Fiscal Review: (See full reports in print)

  • Vijay presented a report on Food Drive Moneys: Expenses lower, exceeded donations from last year.

  • Vijay presented a report on Club and Charities money. Is Ali a member still?  We need to find out and we will ask Don Lang of his standing.  If he is still a member, we will need to get a dues check from him.

  • All expenses in report is up to date, even for the Holiday party.

  • Do we have a record of a J. Shaw (for the food drive) that donated with a match from Apple?  Al will check on it and then John Noone will confirm that he did actually donate.

  • Wondering if the AmazonSmile contributions are going to the right place as it seems that many of us have it hooked up but there is only $18.00.

  • Storage went up a little from 155 to 175 per month.

  • We currently have $8,000.00 going into our major events.

  • Waiting for the website invoice for the Bike Ride.

  • Bills given and dues received.

Crab Feed Update: Al is still receiving ticket orders as of today.  Vijay got the swipe machine for the Crab Feed.  We can enter as “Bar” or “Silent Auction” or “Tickets”.  Then the email will be sent to the buyer.  Do we have wi-fi at the Crab Feed?  Ray will check on it and get the password.  Need the app called “PayPal Here” on the device.  No Paypal for this event.  We can take credit cards at the door and it’s best that people can get a reservation ahead of time with a group name, is best.   Next year, we can get the Paypal working. Kent sent out some videos: CSF at Monta Vista wants to help along with the Leos there and the Leos from Cupertino.  Sign ups are going well, according to Carl.  What’s the plan for getting pizza for the Leos?  Ray will check at the Thursday AM meeting. Jim mentioned that we may need a tent, just in case.  Ray will price one out.

Potential motion to make a donation to Rotary based on the individuals that come to help, but this is tabled until after the crab feed.

Golf Tournament Update: Amy says there is nothing pressing at this time.  We do have 283.00 for golf tourney deductions.  Forms are done.

Board Only List Serve: Members can use the address to Board Only, so we need to advertise the address as addressing the board, and it’s a distinction.  The list serve would have to be updated each year with new board members as the list serve for the club does as well.  Lion John will agree to be the updater of both lists.  Based on the future status of Yahoo, we may have to eventually switch to google anyway.

Perpetual Fund Bylaw: bylaw recited by Al.  These were proposed bylaws by past (no longer) members.  We have no signature validating this. We agreed on these bylaws at the last board meeting.  It came up because we have so much more money, as Vijay proposes, that we could move some of the money into it.  A proposal is that once a year we transfer the allowed percentage of money out of our charity and into the Perpetual Fund.

Bike Ride Update: budget update, permits for alcohol and 2 paid security officers, are required at De Anza. A little over on budget because of security officers payment.  The ADA says that we shouldn’t worry about the costs, because the sponsors will defray the cost of the events.  Then there are the rider sponsors that give matching pledges and donations to the cause.  The orders of the shirts need to be in by the end of May to make it for the ride.  Working on marketing, logo, Ride4Diabetes account.  LCI California is part of the logo as a region identification is important.  The advertising makes it clear that the legality of the Cupertino De Anza Lions is identified as the organization working this event.  We will also have the A.J. Robinson van and our banner as well to show it.  CalTrans is still unconfirmed.  We need PM support with those who work at Corporations for marketing purposes. We need to have a flyer we can send out as soon as possible to corporations because they need the details before they will commit.  Amy is concerned that the sponsorship isn’t going to come in or enough of it, when we are putting in $12,000.00.  The items are over budget, but we expected to be flexible.  We should be able to cover it with our estimated participation.  The “event flyer” needs to be ready, sent by email blast, before Kent leaves on the 30th of January.

Overlap of Sponsors-are the sponsors for Golf and Bike Ride overlapping too much and will that cause them to drop out of one or the other.  Kent feels this is a different group of sponsors for the Bike Ride, that have clubs already, and those are not the same ones as for golf.

Volunteerism Concern: Are we biting off more than we can chew with all the events when we don’t have enough people to volunteer?  Maybe the solution is to get others to volunteer who may not be Lions.

Volunteers and Recruiting: keep a soft approach on those that volunteer and might be thinking of joining, lessen the direct pressure.

Lion Tail Twister Herb went around the room collecting “Happy Dollars”. Most noticeable were from Lion John who finally received approval from the CHP for our Bike Ride, and Lion Eli who gave in honor of Sydney’s straight “A” report card.

Crab Feed

Many positions still need to be filled for the Crab Feed. Signup at   https://docs.google.com/spreadsheets/d/1H4VmAckt86h-Bmz-EDvh4a8Ogdvf3FNBa8r9V6_yKvE/edit?usp=sharing.

Lion Al reported 231 tickets have been sold for the first seating and 115 for the second. Lion Jim said table settings are ready to go for both seatings.

Lion Steve reported he now has $7800 worth of goods for the silent action. On Wednesday the lemon pickers should come at or before 2 pm. The work party will be at 5 pm on Thursday.

Lion Ken reported 25 Leos and CSF members are signed up to date.

Board Meeting

The Board Meeting was held at Amy’s home on Tuesday. Our club received a check from Amazon Smile for about $110 for purchases of the last six months. Everyone should review their procedures to make sure the club is getting credit for all of their purchases.

The Board is considering setting up a fund where the club would not touch the capital, only spend the interest.

Student Speaker Contest

Topic this year is “Is the Right To Privacy A Threat To Our National Security?”

We have commitments from three judges, looking for a 4th. One student signed up to date. Reminder emails have been sent out to all schools.

Need volunteers to take pictures, greet, and assist with students. See Lion Walt or Lion Dagi if you would like to help.

LCIF/ADA Bike Ride

Lion Kent reported he hopes to launch the program by January 30th. Sundar is back working on website which is near completion. Looks slick. Check it out at: http://www.ride4diabetes.org. Lion John has picked out the routes. All of the permits are in place except for CALTRANS and City of Cupertino.

Good of the Order

Project Linus: Annual blanketeering night is Thursday, February 2nd at the Odd Fellows Hall. Bring a sharp pair of scissors and a friend with a sharp pair of scissors. Last year 70 blankets were made in about 90 minutes. Any questions contact Lion Leslie.

Cupertino De Anza Lions PM Meeting Minutes:  Wednesday, January 4, 2017

Lions in Attendance:  Ron, Vijay, Eli, Mort, Phil, Kent, Ray, Jeff, Jim, Mary, Al, Steve, Amy, Charles.

Guests: Ana, Levi, Sydnie, Ellen.

Tail Twister: Eli stands in for Carl-thanks to Ray and Barb for a great party and many other Happy Dollars.

Food Drive Thank Yous: letters thanking the Lions Club for the food and Lion John or Lion Ron will send a thank you to the stores.  Lion Jen will be taking over for next year.  Lion Mary suggests that we promote the Leo club idea at the sites.  The stores would like us to have more food drives at different times of the year, which we can’t really support at this time because of manpower, but maybe have another club or clubs shadow us next year to spread the food drives to different times of the year.  Another thing to think of is a Spring drive for the students and families who don’t have lunch over the summer (students who get free and reduced lunch at school often go needy over the summer).

SCC Registrar Election Volunteering: We made about $1,000 for volunteering to help during the elections and thank you to those who did so.  Some got pins for their efforts (form-filling out).

Crab Feed 2017: Kent along with Leos are working on getting volunteers.  The last week beforehand we will have a final number.  Kent will contact as soon as possible to find out if they can get an earlier number and will get feedback to Jim on the issue.  Are there decorations?  We can do the balloons as we have before.  We just need some volunteers to blow up the balloons.  We need a resend of the Crab Feed Sign Up Sheet. We are pushing sales, especially for second seating.  Work Party at Lion Steve’s at 5:00 on the Thursday before the crab feed (good wine, ribs, and potato salad, and cheap beer). We are at $7,000.00 for donations.  We have been approved for a winery in Soquel tour for 12.  Anyone who is going to SC-let Steve know.  All Lions who aren’t eating and attending, should be making sure we are covered on the floor for sales and for serving.  Float to help at all times.  Band is ready and we need to make sure they are aware of the wine donations.  Steve and Ellen are masters at the donation game!  It’s so much work and we thank you.

Ride 4 Diabetes: Lion Kent walked around with the website up on his computer.  The website has many links and some of our people have put a ton of work into the site.  We have had favorable reviews and fixing any items that aren’t user friendly.  Since Lions Club International will be upping their level of partnership with ADA they are very excited about our endeavors here.  We may have to change our website a little to match LCI’s message.  The plan for the launch is next week.  We want to launch as soon as possible is because many companies set their ride schedules. Lion Jim asked if there is a chance that the date could fall through?  CAltrans is usually very supportive, but have many divisions to go through for approval.  Lion Kent does not see much chance of the event falling through.  Getting the date out and having people save it is very important.  Can we get a “Save the Date” out to our proposed participants?

Student Speaker Contest: Feb. 9 at Oddfellow’s Hall.  Lions Dagi and Walt are in charge.  We can use timers and judges so contact either of them.

Board Meeting at Amy’s for this month: January 17-Starts at 7:00.  Amy won’t be home until 6:30.

De Anza Lions PM Meeting:  December 7, 2016

Minutes:

  1. Food Drive Recap: John is passing the leadership off to Jen Smith for next year.  160 families received a box of food.  We had 220 turkeys were donated and the rest were given to the Y and to a women’s shelter.  Thanks to Claire, we had many non-lion members to help.  The Fimby’s car club did the boxing and collected 2,000.00 in cash and the club collected 1,500.00.  The truck was cheaper thanks to Jim’s connections.Making families welcome (kids and parents getting donations) helps with getting volunteers.

  2. Crab Feed: Saturday, 28 Jan. 2017.  Contacting Lester for table settings.  Dumpsters are donated. Hopefully, the beer donated again, too. The health permit expires right before the crab feed for the Fish Market, but paperwork is in.  We have enough FM volunteers to cover the outside.  We need Leos to show up at 4:00 to blow up balloons and set up dining room. Kent said they are signing up for 3 hour shifts.We also should have enough crab.Silent Auction we have donations coming in.  We also need set up at 2:00 for sound system and auction. We need sign ups for set up.  Carl will have a sign up sheet for the front of the house.  We still need to sell tickets to the second seating.

  3. Membership Process: Get form on our website, so we can direct them to the sign up form.  The Lions cards could serve this purpose.  Spread the word!  Our district is below membership, but this county (South Bay) is performing above.  Encourage membership for any Lions Club for people in their own area.

  4. Dandeli Eye Camp: the camp is happening for Jan. 2017, expecting 250-300 people to screen with staff for about 50 surgeries.  The 10th year we have supported this camp.  We donate 1500.00 total to the eye camp.

  5. Ride4Diabetes: expecting riders from all over the bay area, with gorgeous routes.  De Anza college is behind this and we have rented a garden just outside of Flint Center for the lunch, band, etc.  Parking Lot A is assigned to us on the corner of Stevens Creek and Stelling.  Right now the urgent event is getting the website up by the new year.  We have a template ready, and need to write the content.  This event will draw young and old.  Thank you to Lion Kent for your vision in this event-we are excited to give it a great Lion effort!

Angelina Kalia’s Walkathon: presented that she raised 230.00 in her walk-a-thon.  Congrats!

DG Barbara, and the other  welcomed by Jeff Ludlum:

  • Zone 1 Kevin Johnson is here to introduce DG Barbara.  Driving a diabetes support celebration and the reveal of the baseline plan of the disaster recovery project.  Currently, Kevin is helping support Loma Prieta disaster victims (Bulletin Board for Community next step).  Lions are up there helping out as much as possible.  He sent out a spreadsheet that could compile our emergency response skills and talents within this club.  The more people in our district that are trained, the better our community will be off, when we have quick first responders.

  • Lion Melinda Blaza: introducing DG Barbara Chamberlain, who she has known for quite some time.

  • DG Barbara: She talked to especially our littles, using the stuffed red lion, who has some problems bumping into things.  The lion’s friend, suggested that he see the Lions for a pair of glasses. The lion thanks everyone for all the people who provide glasses for so many people. Important idea is our vision-local community service project.  But, things often derail our vision, but that doesn’t mean we don’t respond, like the fires in Big Sur.  And as each of us our “busily hurrying toward our goal, stop and help people along the way that need it.”Pins for Al and Vijay for their milestone Lion membership.At Palmer Chiropractic is the zone meeting, with new plans that are for buying glasses, disaster relief training/first responders club.  Lion Barbara sells directories and pins.  Negative free zone is what her pin means.  Looking for ideas for a big district celebration-send ideas to DG Barb.

  • Lion Sue Szucs:  thank you for donating to our food drive, Sue!  Committee member for LCIF.  In addition to glasses, and disaster relief, LCIF is taking on measles and the deaths that occur because of the ongoing effects of this disease.  However, we are much lower in donations than we usually are for LCIF.  $1,000-will get the club a Melvin Jones award, but any amount helps. Sue has a “football” pool if you want to donate 10 dollars a square to be in a raffle for a Melvin’s Jones. Al pointed out that we do donate 3,000.00? per year to LCIF but enjoy the football pool for a Melvin Jones.

  • Lion Linda Pugleisi from Scales of Justice Lions :and presenting annual eyes for eyes fundraiser.  Selling pies for a fundraiser that come frozen and are $15. Order now! Or email Linda.

Membership Satisfaction Award:  We were awarded this patch to put on our banner.

Food Drive Updates:  Lion John and Lion Yvonne have orchestrated the Thanksgiving food drive in two weeks.  Special thanks to Claire for her efforts in finding people to fill the slots for this event.  1, 745.00 dollars donated by Yvonne’s Car Club initially and that was just the first donation!  Yvonne has also been collecting non-perishable of food.  Lots of canned vegetables and boxes of macncheese.  She will update us on the numbers next week.  Ron wants to thank both Lion Dan and Yvonne, and car club that they give us every year!  WE appreciate it so much!  Hoping to be done early on Sunday and wrap it up at the groceries a little early..

Crab Feed Update: collected 4,000.00 dollars for donations/raffle?  We have only 250 spots on each seating this year.  Lion Linda’s group has already paid and gotten their tickets in the mail.

Bike Ride Update:  permits are preliminarily approved, Lion Sundar is putting together a website that plans to be online January 1st, anybody who knows how to write (i.e. teachers in the team) can volunteer to write a webpage, let Ron know.   We have insurance for the permits…

The party may be on December 10 for Christmas Party.  Are the bluebells in?  Look for confirmation of that date.

Board Meeting Minutes: October 18, 2016

  • Fiscal Review: Club is in good financial shape; regarding income tax situation still waiting on their “45 days to think about it”.  Al will take care of the taxes up to June 30, 2016.  Vijay will be doing it for next year and has the red books for both accounts.  The trends are that we are going up about $1,000.00.  Portia Whiteted, donation from Foundation Account, Forward Edge through her church-$250.00 and Vijay will take care of that this week.

  • Omar’s Dream Run: less than a 50% turnout, but we haven’t heard what the net is and there is very little overhead for this event.  Hopefully, they should do well. Lion Eli didn’t have enough help for the tables and truck.  Next time, we need to make sure Eli has help and that the outpost could come after the tables and chairs in the pavilion.  This is going national and they have even more hospitals and some in home systems, too.

  • Keeping track of volunteer hours: Dagi does the reporting and estimates from the events and what she reads in the minutes, we assume.  The spreadsheets for each event could be improved.  Dagi could send out an email about who worked events for how many hours.

  • Food Drive: Volunteer positions are filled for the food drive, many who are non-Lions, which we so appreciate.  We can use this to recruit new members.  He will get boxes from Uhaul at a price of $320.00.  He will get those around Nov. 10th.  Vijay got checks as donations at $185.00 for the drive.  John thought another store could be added? But, transportation and the size of Oddfellows will make this difficult.

  • Board Only List Serve: Jill was the only one who got it from Al the day after so he will send it again.  Look for it tomorrow.

  • Perpetual Fund: Bylaw history says that under article 4 directors, the board can put  some of the perpetual funds into the endowment but can’t exceed 20% of each event for which it was raised.  Article 5 says treasurer shall maintain a separate bank account for the endowment fund.  Only the interest from this fund can be used.  This is not currently set up.  If we make a decision to put a significant amount of money in there, then we have to set up the bank account.  We could use a CD instead.  You can take the interest and we can rename it.  We could earmark the CD with $10,000.00 as the perpetual fund.  If we do this it will require a ratification from the membership.  However, Bill feels that the Lions Club International would be better skilled to spend the money we would put in the endowment.  But, if we had started this a long time ago, the build up eventually would really be able to help in a significant way.  If we bank some, though, we have a fall back if we ever have a bleak year and we could still give where we usually do.  The other benefit is that members can also leave money in their will.  Vijay would say that we should look at the longevity of the club and this endowment does this.  We should put a vote out to the members as an “advisory” vote-would they approve the board to allocate funds according to the bylaws. Motion was already made in 2010 to move money in this way.  We have more than double the money that we had in 2010, so we need to adjust with the times.  Vijay will find out what action needs to be taken to get this done.  Take the existing CD and turn it in the endowment.

  • The Gant Chart: simplest is 49$ and others are more expensive.  The idea is to come up with a visual for new members to show our time commitments and also how often they overlap.  The circle chart that Charles brought uses inner and outer circles, with months, that would do this.  This would be something to hand out.  Can we do this ourselves or do we have to buy something?  We can also put it on the website.  Vijay will play around with it to see if it will work and bring an example to the next meeting.

  • Crab Feed Ticket Sales Policy-Al is motioning that  the Crab feed tickets should remain reserved until January 3rd this year because we are cutting down 43 tickets per seating.  252 seats per seating.  Motion Approved.

  • Silent Auction Team: Steve and Ellen want to step back from this responsibility after this crab feed and they would like someone who will shadow them, so that they can be done with it after this event.  Jeff has pitched it to a few members, but no one is ready to take it on.  It may be that eventually this part of our fundraising will not exist (depending on success of bike ride, sustainability of crab feed event, etc.).  We have to report these to the IRS, and currently use a spreadsheet that Steve puts out.  We need to put this out to the club to see if someone will begin to take it over this year from Steve and Ellen.

  • Bike Ride Funding: Al motions that we approve setting aside 2700 total for fundraiser, breaking down to 1400 for permits, 800 for website development, and 500 for insurance.  These need to be paid in the here and now.  Motion passed.

  • Bike Ride Collaboration: talking about the name of the event.  “Gran Fondo Silicon Valley”  another idea is to map the causes along the road “The Miracle Miles”.  Maybe a combination of the two.  Ask Sundar what he thinks of the branding.  Ron is back, so we will see how the ADA meeting goes.  “The Miracle Miles: Gran Fondo Silicon Valley” is another idea.

8. Update, Sign-Up, Motivator:  Thanksgiving Food Drive ‘16

This is one of the core things we do.  Benefits > 100 families.

Lion John has taken a new approach to build excitement.  A skit!  Some people are nervous about collections.  Johns shows us how easy it is, even with a grumpy bah-humbug shopper.

Golden Gate Street Machines have donated $435 dollars.  Thank you for all your help…!  The goal the Fimby’s gave the group was to help with 60 families.

Monta Vista Leo Club (90 members) will turn out to help this year.

Note – We need apple boxes for the food drive!

  1. Update, Motivator: Get On Your Bike and Ride! Fundraiser 2017 – Lion Kent

All 5 committees are firing on all cylinders

Web site will be ready to go around Dec 15th.  Lion Sundar is in charge of that

We’re talking to our ride consultants and are getting permits for the routes

Diabetes Society is engaged and we’re working with them

All meetings are on teleconference

Date is Aug 26th

The idea is that you fundraise like “Team In Training” – corporations can contribute or match

Q:  Do we sign up as a team or as an individual?  Either! Cost is TBD.

  1. Disaster Relief (Stop Hunger Now) – Susie

This will be their 4th year doing it.  Tsunami, earth quake, etc.  They pack 10,000 bags full of dehydrated vegetables, rice, etc.  The bags will feed 6 people.   Takes about an hour to package 10,000 bags in assembly line fashion.  They’re loaded on a truck, and done!

If you can make a donation, it’s 3k dollars.  This the minimum to commit to a program.  Susie will let us know when the next session is.  Very family-focused with music playing.  St Francis Episcopal Church down Hamilton.

Crab Feed (Ratner) – Steve has a bunch of fliers.  Ellen and he have started collecting donations again.  Steve needs volunteers for raffle and treasure chest.

Al – tickets are available if you want to reserve them.  They are printed if you want them / reserve them.  Run checks / cash / PayPal through Al.  He’ll be doing tix sales and the seating charts.

Jeff – we have two Lions-to-Be requests:

Eli – has some walkathon sponsorship sign-ups for Haman.  Sign up and sponsor up until this coming Friday (10/7).   Flat donation or per lap.

Angelia – Also has a walkathon on 10/15 for Alta Vista.  She’s soliciting donations for her Walkathon.  Please feel free to sponsor.  Flat donation or per lap.

Susie – Need clothing and a can of food for veterans in Santa Cruz.

De Anza Lions: Board Minutes Sept. 20, 2106

  • Fiscal Review: Al mentioned that the IRS reported they didn’t receive the 990 for 2014 and wanted to charge us about 3,500.00 including late fees.  Al resent a copy and is waiting to hear back.  Vijay is in charge of the PIN number and is working out some issues.  He will also take care of the chamber of commerce fees.

    • *Note: Tabling the discussion about the Perpetual Fund investment until Vijay’s return.

    • Braille Center Donation: a motion was made to give the center $500.00 and was unanimously approved out of non-budgeted donations.

    • Escrip: goes into the Foundation Checking Account

  • Board Only Email Distribution List: Al will create a list just for board members.  A proposal was approved that the secretary will send out the minutes just to the board and they have 7 days to approve, if no content (not grammar!) corrections are made, secretary will send to whole club.

  • Lifetime Awards: some research will be done by Ray and Jeff to see if other clubs in the area have any criteria for various awards (Melvin Jones, Helen Keller, etc.).  After we find out some details, we will create an awards committee.

  • Crab Feed: Steve let us know that there were 5 large donations that have to be set up by end of this month.  We approved one of 5 flyers with a title that fits our unknown partnering status.

  • Board Parliament: Jeff asked Al if he would be the Board Parliamentarian as he is well-versed in the procedures and policies of the Lions.  Jeff would like help keeping the meetings on track.  This is not an extra voting position, and Al agreed to this appointment.

  • Via West: Bill reported that besides the Lions there were many volunteers at the last event to get the camp facilities redone.  There is a carnival for the Via West kids on Oct. 8th.  Volunteers needed from about 10:00 for a few hours.

  • Bike Fundraiser: Kent urged committee chairs to go to the Canary Ride to see how a ride is run. There is audio of the conference calls between the committee chairs.  The preliminary date is set as August 26.

  • Leo Club: Jeff will contact Bob Long to see if he will help with the Yerba Buena Leo club that already has members and is ready to go.  Our club is happy to be the seed for this club, but need another club to run it.

  • Calendar of Events: we need a more comprehensive calendar of events for our own information and for new members, so they can see what we are doing, where we are on the goals for these events, and what is coming up in the near future.  We are looking for a type of calendar that will allow us to show benchmarks for the various duties related to planning these events as well as the ability to show events that are also, “show up and work” events.  We would like this to be a more visual calendar, not a list, although Jeff’s bullet noted list was also presented.
