PM Meeting Review – Lion Jenni presented the Hughes thank you book written by the children and presented to the Lions for the BBQ.
Linda Sanders volunteered to take leadership of the flag day presentations in the future.
Golf day preparation was discussed. Finalization of place mats and tee signs was discussed with Lion Amy and Lion Jen Smith.
Ride4Diabetes efforts continue with a recruiting booth set up at the ADA Tour de Cure this weekend.
Lion Jeff will not be able to attend the next board meeting so Lion Amy will run it.
Budget meeting date will be set with details to be sent out via email. If you have any funding requests be sure to submit/present them to the board.
A new location for the crab feed will need to found for next year.
Lion Sean (Mike) Ringer offered his home for the tail twister party with the date to be determined.
July’s PM meeting date is changed to July 12.

Golf – Lion Steve tested out the TV presentation all went well. A final decision on food has been made. Lion Steve says we currently have $8,726 dollars in donations and that Lion Scott Harris and Lion Jenni will pick up the donated bagels. We still need “More Golfers” and Tee sign Sponsors we have 9 days to go.

Ride4Diabetes – Lion K. Said he got a $1,000 donation from Garrod Farms and he is also working on several other companies for food and SAG vehicles. Lion John N. said he has a meeting on Monday with a sign company for all our route signs. Lion Ron talked about the upcoming ADA Tour de Cure on Sunday June 11, 2017 at HP in Palo Alto campus to help setting up our Ride4Diabetes booth to recruit riders and vendors. Anyone that can help would be appreciated just let me know.

Via West – Lion Bill said we are all set for Friday May 26th at 1:00 PM to do repairs on the fire pit benches and prep for painting/staining on Saturday.

Crab Feed – Lion Ray said Saint Williams is not available for the Crab Feed any longer as they are transforming the auditorium into another venue so we need to start looking at another venue for the crab feed. We might look at St. Joseph’s in Cupertino for January 20th or 27th, 2018.

Golf – We had hoped for a demonstration of the TV but was not able to get it together. We will continue the TV option since the cost is minimal. Lion Steve Ratner and Lion Charlie Waters said they would provide the funds for the purchase of the LED sign and asked Lion Ron to order it. Lion John K. said he would contact Lehigh Cement for a sponsorship. Lion Eli said that the food menu was set. Lion Steve said he is working on getting golf balls for the goody bags. Currently we have $7,970 in donations. Lion Kent said we currently have six Leo’s signed up for the morning and afternoon shifts. There will be a packing party at Lion Steve and Ellen’s home on Thursday June 15th at 6:00 PM. The main thing now is we need “More Golfers” and Tee sign Sponsors so round up your groups and get them registered with Lion Jen Smith before the end of May as the price goes up to $130.

Ride4Diabetes – Lion Kent said he is putting a slide show together for a presentation to the Almaden Cycling club on June 7th which Lion John Noone and Lion Ray Lancon will present as Lion Kent will be out of town for the event. Lion Kent said we need someone to set up the Ride4Diabetes booth at the ADA TourdeCure event on Sunday June 11th. The YMCA has agreed to promote our ride at their 11 Bay Area locations and they can set up a tent at our ride to try and get new members.

Good of the Order –

Lion Ron read a Thank You letter from the YMCA Camp Sequoia Lake for our generous donation to their 2017 Annual Campaign which helps provide a safe environment and personal growth to children and families who attend their summer camp programs.

Lion Kent said he could set up a presentation for the Golf event when he returns on June 10th if people send him the information they want on the slide show.

Lion Jim Gould asked how much money we have spent on the Ride4Diabetes and if we have covered it yet, Lion Kent said at this point we have not covered the expense.

Board Meeting

1. Fiscal Review/Updates As Appropriate

Dagi and John need money for reimbursement for new website. Al will take the receipts and pass them onto Vijay. ($345 to John and $275 to Dagi)

2. 4C-6 Convention Recap: Al attended-the cabinet meeting was impressive. The new DG said the district will undergo some modernization. Al voted on our behalf. Dagi put Al’s report under news.

3. Update/Plan/Budget Check, Via West Camp – Memorial Day Work Weekend 2017. 5 shifts are covered but none on Sunday. Bill says it will happen. Need to bring paint brushes and rollers. They have a power washer, but many logs are needing replacement. Long term goal could be to replace all the seats for more of an amphitheatre. We might be able to get some contractors to provide materials. Serviceable this year and work on upgrading next year.

4. Any Update, Discussion – By-Laws for the Corporation (club entity): what the board approved the last time, has been through Claire and she has given it back to Al. We will be seeing the next section at the next board meeting for review. When Claire is all done, we will bring it back to the Board with about a month to look it over, before putting it to a club vote and filing with the State.

5. 4C-6 Directory Club In for Lion Year 2017-2018: Al updated the ad and it has been submitted. We believe the check has also been submitted by Vijay for the ad donation.

6. Golf Classic 2017 Updates – Lion Amy, Any Lion-We only have 37 golfers confirmed and paid. Others are pledged. We still have some coming in. We are hoping for 100, but it is cutting it close. Moffett wants to know food by the 26th but we can probably push that out to June 2nd. For the golf foursomes it is usually the Wednesday before the tournament. This is usually the predicament, but it seems like we have less golfers this year as at this time. By Moffett’s standards we are a major tournament, but if we don’t provide the golfers, they aren’t going to want to let us have the tournament there. It seems like the date being Father’s Day has a direct correlation to a consistent drop in numbers. Lion John wants to have a recruiting table with incentive, immediate (like a pitcher of beer for filling out the application then and there?) We can agree to buying someone who fills out an application A beer, not a pitcher. We could possibly get some canned beer from Moffett for this purpose-50 cans of beer. We can also give incentive for people to attend a meeting. We have a budget already used in the AM meeting to buy a guest breakfast. We can use this same budget for PM, too. Where the bagels used to be is where we can put the recruitment table with the applications and incentives to attend an AM and PM meeting. Steve and Ellen have and are collecting more items for raffle. We lost two sponsors: Recology and Lehigh. Steve will check with Whole Foods for bags and will print the placemats. Next year maybe look at getting some printed with our logo.

7. AND Other Matters? Good of the Order…

Ride for Diabetes should represent the club and our club should be represented at the events and the promotion. We do have a DBA relating directly to our club. All board members feel that we should wear our Lions gear when we are working on or at these events, or all events, if we choose.

Distribution of Profits of Ride for Diabetes: is it a net or gross profits and how it gets distributed? Net has to go to diabetes related issues-and is the holdover carried on to successive years. We can look at our budget for those items related to diabetes. We could change the marketing next year to say that the donation could cover all of our causes. It is a federal law that it has to go to diabetes unless we advertise differently and we haven’t.

LCD or LED Screen: brief discussion regarding which one, but we need to table that until we have a quorum.

Via West – Lion Bill said the work schedule would start on Friday May 26th through May 28th if necessary. Starting May 26 at 1:00 PM and May 27 – 28th starting at 9:00 AM. He said we will be leveling the benches, cleaning/sanding and painting/staining. Lion John as sent out a google doc for sign ups.

Golf – We had a good discussion @ the morning meeting about utilizing an electronic sign instead of our traditional banner, to recognize & thank our major sponsors. There are good reasons to think about going electronic, whether utilizing a smart tv or an electronic message board. We need to finalize this by next Thursday. If you have any thoughts, or have some time to look into the merits of either device, please get involved. Eli will put together the club’s thoughts, & research, & hopefully the morning group will make a recommendation to the board on Thursday, May 25. Send thoughts, information, or research to Eli. We are going to try to keep this project under $1,000.00. We have pledged funds for over half of that amount from Lions Charlie Waters & Steve Ratner. There will be a packing party at Lion Steve and Ellen’s home on Thursday June 15th at 6:00 PM. The main thing now is we need “More Golfers” and Tee sign Sponsors so round up your groups and get them registered with Lion Jen Smith before the end of May as the price goes up to $130.

Ride4Diabetes – Lion Kent said he Lion Dagi and Lion Sundar passed out info about our Ride4Diabetes at the Super Almaden Lions cycling event last Saturday. Saturday and we will be setting up a tent to promote the Ride4Diabetes. Lion Kent said he met with the Rotarians on Monday discussing our event. The YMCA has agreed to promote our ride at their 11 Bay Area locations and they can set up a tent at our ride to try and get new members. Lion Kent said he would need 11posters for the 11 YMCA sites. We currently have a couple of major sponsors but we still need “Corporate” sponsors.

4-C6 Convention – Lion Al and Barbara Knox attended the convention in Santa Clarita and said it was the best one they have attended in a long time. He was upset that the District was raffling off 6 Melvin Jones awards. He thought it demenished the importance of the award.

Ride4Diabetes – Lion Kent said the Super Almaden Lions are having their cycling event this Saturday and we will be setting up a tent to promote the Ride4Diabetes. Lion Kent said that the Almaden Cycling Club will be having a meeting on June 7th and has invited us to do a Ride4Diabetes presentation. The American Diabetes Association is having a cycling event on June 11th and we are welcome to set up a booth for Ride4Diabetes. We currently have a couple of major sponsors but we still need “Corporate” sponsors. The YMCA has agreed to promote our ride at their 11 Bay Area locations and they can set up a tent at our ride to try and get new members.

Good of the Order – Lion Eli said Lion Jenni was setting a date for the Flag Day event at Hughes Elementary school. We do need a volunteer to do the flag day presentation to the students now that Lion Mort is no longer available. The Lions still plan on doing Hot Dogs for the kids no matter what.

Lion Eli talked about his disappointment that we did not promote the De Anza Lions club at our Ride4Diabetes booth last Saturday.

Golf Tournament – In depth review of the Golf Sponsor Banner. Any Lion with info regarding players, sponsors or volunteers should nudge confirmation of involvement now. May is a critical month in Golf Tournament planning.

Ride4Diabetes – Lion Kent informed the meeting that Lockheed has expressed interest in supporting this effort. Also Lion Kent’s last listserv post contains information you can use to promote this event if you participate in the NextDoor app.

Lion Don Lang presented the club with a certificate from the “Edge” youth support group.

Lion John recommended that the chairmen of each major fundraising event do a narrative so members who take over that event knows the basic operations of the event. The narratives could be stored on our website for all to look at.

Lion John Noone asked how he could get info on the new club members so he could update the website directory, he was told to contact either Lion Jill, Jeff, or Vijay as one of them should have the information.

Lion Al said he was going to attend the District 4C-6 convention in Santa Maria. He said we need a copy of the amendments to discuss how we should vote on them.
