Tail Twister – Tail Twister Lion Herb received Happy Dollars from various Lions for the successful Student Speaker contest. Lion Ray gave a Happy Dollar forLion Dagi and Ellen for the great job they did on the student speaker contest.

Crab Feed – Lion Ray said the preliminary numbers show we will make approximately $14,000. There were discussions about the venue and if we wanted to secure it for next year. Lion Steve said his concern was the dishwasher and hot water situation. The date talked about was January 26, 2019. This would be the week before the Super Bowl. Lion Eli said we need to look at other things going on around that time to make sure there are no conflicts.

Student Speaker Contest – Lion Dagi said we had three speakers. She also wanted to thank all of the volunteers especially Ellen, Walt and Lion’s Steve and Don Lang. Lion Ray reminded everyone that the Zone Speech contest is March 8, 2018 and he needs volunteers for that effort and that judges cannot be Lions. He said at this time it appears that we will have three speakers for that contest.

Board Meeting Review – Lion Al said the discussion on the Ride4Diabetes was tabled until a member of the committee is there to discuss it. Branding and date are issues that need to be resolved along with several others. Lion Al said that a meeting should be held to resolve these matters.

There was a request for funding for the Youth Exchange program (Edge) and it was approved by the board. Lion Al said there was a request to fund HOBY – Hugh O’Brian Youth Leadership program. This is being investigated as we thought that the Youth Exchange program (Edge) was the same program.

Charter Night – Lion Ray said Charter Night will be March 24, 2018 at the Blue Pheasant restaurant in Cupertino starting at 5:30 PM with dinner at 6:30 PM. He will send out a menu for attendees to select from.

Good of the Order –

Lion Dagi said she had received a request from West Valley Community services to talk with us. Lion Ray said he will talk with her to see what she wants.

Lion Ray mentioned that the District Cabinet meeting will be held on February 24, 2018at the San Martin Lions Club.

Services for Lion Howie will be held this Saturday February 17, 2018 at 11 AM at Saint Martin of Tours church 200 O’Connor Dr, San Jose, CA 95128.

Crab Feed – Lion Steve went over the preliminary numbers and said we had a successful crab feed. Lion Ray said that if we want to use the same venue next year we should pick a date and reserve the room. There were a couple of issues with the facility the needs to be addressed with the church. Lion Steve said we were getting our $500 deposit back from the church. Lion magi suggested that the recycle containers need to be clearly marked. Overall everyone was satisfied with the venue specially the room size and location.

Student Speaker Contest – Lion Dagi said we currently we have four speakers with two confirmed. Volunteers are still needed. The Student Speaker contest will be tonight Thursday February 8, 2018 at the Odd Fellows Hall in Cupertino starting at 7 PM. Lion Dagi would like the volunteers to arrive at 6:30 PM. Lion Herb said he would bring the banner. Lion Dagi said she needs 3 A-Frames. Lion Ray reminded Lion Dagi that the Zone Speech contest is March 8, 2018. There was a discussion about the difficulty of getting student speakers and Lion
Kent said it might be because the Rotarians are having theirs at the same time.

Crab Feed – Lion Jim said he had talked with Juan at Farallon Fisheries and ordered 600 lbs of crab. He said the price should be under $9 lb. Lion Jim said he would probably pick up the Refer truck tonight. Lion Al said we currently have 334 tickets sold with possibly 4 or 5 more to come. Lion Jim said he had talked with a someone at Facebook about our crab feed and they actually put it on their site for a day and also on Eventbrite. Lion Jim said they had over 400 hits on the first day. Lion Al said he set up an Eventbrite account. Lion Al said we need to make sure we got the table numbers from storage. Lion Ray said we need to have someone to check in the Leo’s and advise them on what they need to do. Lion Ray said he would bring a yellow pad for them to sign in. Lion Steve reminded everyone that the work party at his house tonight would start at 5:30 PM. Lion Steve said we have $6,400 in donations. Lion Dagi said she needs a table for the Brag Board. Lion Dagi also said that her friend Jane volunteered to work at the crab feed. Lion Steve said we also have 4-5- volunteers from Wells Fargo. There will be a storage run at 11 AM tomorrow and we will put all the supplies needed for Buscher in Lion Eli’s truck.

Tail Twister – Tail Twister Pro-Temp Lion Jim received Happy Dollars from various Lions. Lion Ron gave a Happy dollar for the appearance of Lion Jim.

Crab Feed – Lion Al said we have 189 for the first seating and 97 for the second seating at this time. He said he thinks we have at least another 20 to come.
Lion Ray asked Lion Jim about bibs and Lion Jim said he would order them today. Lion Jim will let Lion Ray know when he can drop off the buckets for the marinara sauce and salad dressing. Lion Jim said him and Lion Carl discussed the amount of food we would need and the thought is we will need about 550 lbs of crab. Lion Jim said he got one keg of beer donated from the ‘Redi Room’ and we are paying cost for the extra keg, Paul & Eddies charged us $10 over cost.
Lion Jim said he talked with ‘Stuft Pizza” about getting pizza from them for the Leo’s and said it would cost about $150. Lion Kent said we currently have 20 – 30 Leo’s for each seating. Lion Jim contacted Farallon Fisheries and they said the price of crab will be about $9.50/lb. Lion Steve said we currently have $6,400 in donations. Lion Steve made prints of the silent auction and raffle items for both seating 1 and seating 2. Lion Ray and Ron got the jockey box and confirmed the CO2 tanks are full and Lion Ron will clean the jockey box. Lion Charlie said the 5 propane tanks are set and ready to go. Lion Vijay said Lion Amy will have one of the square charging station.

Lion Kent said he contacted the gentleman from the City of Cupertino about our video segment in the Cupertino State of the City video event at the city council meeting on January 31, 2018. Lion Kent said it would be televised on the community channel at noon. He also said that the Cupertino Host club will also be recognized. It was also brought up that a member or members of the club needs to a attend the Chamber of Commerce meetings since we are a member.

The membership database was brought up about needing to be updated and Lion John Noone and Lion Al said they would work on it and make sure all the info is correct.

Tail Twister – Tail Twister Herb received a Happy Dollar from Eli for the good PM meeting last night. Happy dollars were given by many members for a good start to the New Year.

Crab Feed – Lion Ray said Lion Carl sent out a Google Doc sign up sheet and reminded all Lions to sign up for different areas to volunteer for the crab feed. Lion Al said we have sold 160 tickets for the 1st seating and 70 for the second seating. Lion Steve said we currently have $5,576 in donations with more to come. Lion Eli talked about either renting a U-Haul truck or trailer for the crab feed. He said the trailer would require a pickup truck larger than his to pull it and would cost approximately $60, to rent a inclosed truck the cost would be about $150. Lion Eli said he would check with Lion Carl to see if the jockey box needs to be cleaned or not. Lion Ron will check to see if the CO2 tanks need to be refilled. Lion John Noone said he needs a table for membership drive. Lion Steve said there will be a packing party at his home on February 1, 2018 at 5:30 PM with food and drink provided. Lion Bill said the liquor licensee for the crab feed is in process.

Lion Ray asked Lion John Noone to check on the new google list serve to make sure all members and especially the new members are getting club emails.

Lion Eli talked about the new members and how they are participating. There are three new members helping with the crab feed at this time. He is hoping that some will volunteer to help out with the bike ride so we can continue that fund raiser as it seemed to help bring the city of Cupertino and our club some deserving attention.

Lion Ray said Lion Prez Jeff will send out an email to vote on one of two dates for our annual Charter Night dinner. This is to celebrate our 49th year as a club.

Lion Ray reminded everyone that the Board Meeting time has been changed to 6:30 PM.

Tail Twister – Tail Twister Herb received a Happy Dollar from Eli for winning the opportunity drawing last week and still trying to get the money from Lion Herb. Lion Kent gave a happy dollar for coming out of the dark ages and getting a new smart phone. Lion Dagi gave happy dollars for being back in the pride.

Crab Feed – Lion Al said we are close to 200 people for the first seating and is hoping for about 100 for the second seating. Lion Al said we have lost several large groups. One of them is Paul and Eddie’s who only has eight attendees since they have to get ready for the Super Bowl the next day. It was brought up that we would need betweenez 20 – 30 Leo’s for each setting. Lion John asked what we thought the price of crab would be this season, Lion Al said he thought it might be around $9 – $9.50/lb. Lion Steve said him and Lion carl did walk thru of the kitchen at Saint Lawrence and foldout the dish washer was not working. Lion Carl said he would like to start work in the kitchen area around 12:30 since it is a new kitchen. Lion Steve said we currently have $5,570 in donations and head expecting another $300 – $400 to come in. Lion Steve said him and and Ellen sent out about 149 requests. Lion Ray said we have not got any beer donated so we will probably have to buy it from Paul and Eddies hopefully at cost. It was brought up that we need to advertise the crab feed on next door.

Student Speaker Contest – Lion Dagi said her and Ellen sent out a reminder to the schools about the Student Speaker contest. Currently we have one speaker with hopefully another coming on board. Ride4Diabetes – Lion Ray said the Board authorized funds for the Ride this year and Lion Vijay set a budget. It was also stated that the DeAnza Lions needs to be prominently displayed. Monthly updates on expenditures will be required. Currently looking at September/October time frame.

DAL Board Minutes: 16 January 2018

 

6:35 meeting called to order.

 

Attendees: Jill, Al, Ray, Carl, Amy, Charles, Jeff, Jim, Vijay, John

 

Fiscal Report:

  • Bank Balance 8,000 +, more than last year because we have had less activities and more members.
  • Gerry Tammy- said that he doesn’t want to be a member.  Charlie is his sponsor, so we are checking on his preferred status.
  • Q2 and Q3 we go a little negative, but it’s always made up during Q1 and Q4.
  • Fundraisers are next quarter, so that will help.
  • Are we wealthy?  The IRS will allow us to have 3X operational in the account. But we like to have at least 2X what we need.
  • Charitable Donations: Al will make a spreadsheet based on what we have given and what we can still make.

 

Crab Feed Update: Projected Net will be around 10,000.  Crab is the biggest fluctuation in our projected numbers.  The board says that it is a go anyway, and maybe next year we can get the date that we usually get.  Last year we did raise a lot of money on day of from raffle and treasure chest.  Super Bowl Weekend isn’t the best weekend.

 

Charter Night: Jeff will send one more note out and Ray L. will ask the morning crew one more time. Then we will make a decision on the date.

 

R4D: John Noone reviewed the proposal.

 

Q1: Are we still calling it Ride for Diabetes-it’s a branding issue.

Q2: Sponsors mostly came from John K./pledges and registration we netted much less than what is in the proposal. Who in the organization is going to make sure we meet the goal of 40,000 (we made about 9,000 last time)?

Q3: Rentals of tables, canopies, port-a-potties.  Appendix E shows land, but not rentals.  

Q4: People that are signing up should not be surprised about the $200 that they are supposed to pledge,is this going to be more obvious? John said that they are going to make it front and center on the application, with a countdown to ride.

 

Comments:  

  • Not going to use Eventbrite, but Sundar has another company.
  • Some items are a one-time costs and some are going to cost us every year.  
  • Some are concerned about the proposal not being accurate in regards to costs.
  • Amy says we haven’t met the criteria that we decided on for this event as decided in November.
  • The budget approval can’t be less than $16,000.

 

General Concerns:

Can we make 30, 000 on this event? When we are marketing do we market the company or the brand? But, there can be a different standard for us as a non-profit. The issue of branding is important to many members of the club, because our name isn’t mentioned. We can legally call it Ride for Diabetes, and still use some money for our other club donations, as long as we give 51% to Diabetes.  One issue is that this ride restricts our funds, when the other fundraisers go to any or all of our donations. Yet, so many of what we already donate to are connected to diabetes. It’s possible that we call it “Cupertino De Anza Lions” Ride for Diabetes.

 

Calendar?  John is hoping we have it later in the year, October, or late September. Does having it later ease any of these concerns?  We have more members and these are interested in supporting this ride.  The pull in for volunteers comes after June 18th, after the golf tourney, so there is no conflict and volunteer fatigue.

 

Two Gaps in Chairs?  We still don’t have the chairs for two committees: marketing and the new chair, volunteers.

 

Motion to approve proposal: Lion John is asking for a conditional approval for Ride for Diabetes 2018, if these conditions are met

 

  • WHEREAS:Date in late September
  • WHEREAS:Name change to include Cupertino De Anza Lions, Charities
  • WHEREAS:Committee Chairs filled
  • WHEREAS:Budget of 16,000

 

WHEREAS:With progress to be reviewed by Board, especially with a presentation to the board regarding volunteers.

 

So Moved: Approved by 6 ayes and Opposed with 3 nays.

 

Melvin Jones: award committee/award criteria review. Ray and Jeff will work up some criteria drafts.  We have four more awards to give, plus we have other awards.  Maybe convert some to progressives.

 

Membership Moment:

  • Steven Sharf is still in limbo because we don’t have his check.  If he sent it to LCIF, which someone did, it was sent back to him (we think).  We have voted Steven Sharf in as a board and we will figure out his payment later.
  • We need a bigger presence in the community.  Often, there is a sign going into a city or we adopt a park. A proposal is coming.

Lion Ray rolled the dice for his Birthday and rolled a 10 for a $8 donation to the club. Lion Eli presented the annual Golf Tournament Trophy to Lion Kent for his team winning the tournament last year, just a little late.

Crab Feed – Lion Al said we have sold 136 tickets for the 1st seating and. Few for the second seating. Lion Al said Lion Jim Gould is talking with members of the Fish Market hoping to sell some tickets there. Lion Ray said we need to continue sending out emails to previous attendees. Lion Ray said Lion Bill will be getting the liquor license, Lion’s Jim and Mike will be getting the Refer truck. Lion Eli said he will call U-Haul to see about renting a trailer to take stuff from the storage unit to the church. We will need a working party for Buscher salad prep on Saturday morning February 3rd. There will a storage unit run on Monday morning February 8th at 10 AM to prepare for the crab feed. Lion Steve said that the wine will be provided by Rotarian Mike M. Lion Steve said we currently $4,833 in action donations and that he and Ellen sent out 143 requests. Lion Steve said there will be a work party on February 1, 2018 at his home for Crab Feed prep of auction items. Crab Feed set up at the church will begin at 2:00 PM Saturday February 3, 2018. Lion Al said he would have crab feed tickets available at the PM meeting on Wednesday February 10, 2018.

Lion Steve speaking about donations, Carl is sending out the sign up sheet tonight so look for it and we have a new location, so we are staffing it the same as last year. We believe there will be Leos in the mix to about 100 students, but we don’t know who is the point person for the Leos at the Crab Feed. Carl will train them in the service, but someone else needs to supervise them.  Carmel is going to the supervisor for the Leos for the second seating.
  4. Charter Night 2018 – lion jeff, Any Lion: Blue Pheasant on March 10 or 24.  Look for the email to vote on that night.
  5. New Google Group for the club: new google groups are successful.
  6. The Student Speaker Contest: Lion Dagi and Ellen are chairing the event.  The date is the 8th of February.  We have one student from Cupertino participating.  We need judges, timers, and a bouncer.
  7. Good of the Pride:
  • Lion Amy-golf tourney is going to be Father’s Day weekend in June.
  • Lion Amy-Next month we are going to have a speaker who is a cataract surgeon about what he does at eye clinics around the world and works at Kaiser.
  • Lion Mike R. is thinking about working on a run for the Dirtbags to go to Cooperstown.
