Board Meeting –

Lion Al said that the budgets were approved for both the Charity budget and the Administrative budget.
Lion Al also said that the board setup two different budgets for the Monta VistaLeo’s.
Ride4Diabetes is going well. The City of Cupertino gave the ride a $10,000 grant. Lion Ray said he needs time to get nurses for the ride so the sooner the better with notification that everything is definitely a go. It was also stated that we might be getting a new member that is very active in the Cupertino community.
Date for the Crab Feed was confirmed as February 8, 2020.
The Thanksgiving food drive will be November 23-25, 2019. We currently have three stores set up for collections.

Good of the Order – Lion Eli reminded everyone that we have three events coming up before years end. Ride4 Diabetes Sept. 4, Omar’s Dream Run Oct. 1, and the Food Drive November 23-25, 2019.

There will be a Lions District cabinet meeting on August 10, 2019 in San Martin.

PM Meeting Review –

Charity Golf Classic 2019 Recap: successful overall, 49.4% net to charity, 12,000 + approximately made, with 83 golfers.
Charity Golf Classic 2020 Date, and…COMMITTEE CHAIR: looking for a new chair for the next year. The date could be June 13th or June 20th, the 13th really could conflict with graduations and one person preferred it not be on Father’s Day weekend. We need to get the date ASAP. Next year there will be a new food service manager and Jenni is hoping to have a transition meeting with the new person. Tents over the food next year.
Crab Feed Date: February 8th 2020 (need to get that solidified).
DG Rick S. Visitation to AM Meeting: August 8th (Ray is the Region Chair, (questions go through the zone chair). Cabinet meeting is August 10th in San Martin.
Ambikanagar Club rename to Lions Club of Dandeli City; Sec. Prasad’s visit for August; new grand-daughter! Hopefully a visit for the August PM meeting.
Tail Twister Summer Fiesta, Sat. 13 July, including Installation of officers/directors: NEW location at the Erickson’s house at 5:00 pm. Everything will come to the house on Friday and no need to come early on Saturday. Jeff will get the barrell, Ron/Eli/Ray will drop stuff on Friday between 2-4. Currently, we don’t have enough chairs. Anne has 6 and Leslye has 6 and Jenni will check with their neighbors. 4 tables are needed. Lion John is coming to the party. John will do the installation of our officers. We have napkins, cups, wine and beer, coke, and silverware. Ray has our flag and banner to bring and will drop them off on Friday.
Ride 4 Diabetes 2019: Ray is getting the insurance to cover the ride, but it won’t be in place until mid-August. Saturday, September 8th.
Thanksgiving Food Drive 2019: the weekend before Thanksgiving, still with three stores, but one is a new location.

Golf Tournament – Lion Ray said we need to set a date for next years tournament so he can reserve the golf course for next year. Lion Ray sent out the dates of 6/13, 6/20, or 6/27 2020 for input. Reserving the course does not cost us any money.

Monta Vista Leos – Lion Kent with the new Leo’s club president and found out they currently have approximately 200 hundred members and are trying to recruit more. They are also talking with other District Leo clubs to try and set up a District wide fund raiser. A couple of our Club members talked about the Leo’s web site and it was brought up that maybe we could asked one of the Leo’s to consult with us on our website.

Good of the Order –

Lion Kent asked the club about donating a park bench to the City of Cupertino, he said hopefully that would give us recognition and a legacy in the community as the Rotary Club does.

Lion Al read a Thank you letter from the Braille Institute for our support. He also read a Thank You card from the daughter of Charlotte Chastain for the flowers and support from our Lions club by attending her funeral.

MV Leo Club Treasury Proposal; Events and IT; Leo Ted Chai, Lion Kent. Ted and the MV Leos do not have much financial leeway through school, but needs a 501C3 through our club to use for their own fundraising endeavors. The club was large last year, 200 members, but about 100 are active members. The members want to have a club who can be working on projects and being social at the same time. Large events cannot be funded through the school. The account has four points (see Lion Al for details). We are prohibited from giving them money ourselves, except for the annual registration for the club. How does this affect what we report to the IRS? This is restricted to Leo projects, but it would count as part of our reserves, so we have to make sure we don’t hold on to much of our reserves as we do now. The Leo charity account would be ridden out by the end of the fiscal year. A business plan, with a chart of accounts for admin. and charity.

Motion: Al motions that we allow the Leo Clubs be added into our accounting and IRS Franchise Tax board reporting. Jill seconds the motion.
Discussion: we do R4D under our EIN, but if we could get the Leo name on the check that would eliminate some confusion that has occurred with the R4D. What happens if funds don’t get spent by end of the year? There is no problem with the Leo club carrying a balance. So far it hasn’t been an issue for the Leos as far as dispersing the funds by the end of the year. Once this is set up, it would be good to have a quarterly update. The Leo rep/Treasurer would need to be present at the budget meeting. Unanimously approved.

R4D 2.1 Update: Sudha is on board since a week ago. She has been working on details and communicating with Kent and Sundar. The insurance letter is needed because our insurance ends at 9/1 and the event is on 9/8. The city of Cupertino needs more of an assurance. Ray was working on it, and Jeff will write the more official letter needed until the week our insurance comes through. Simran thinks they can go forward with the permits. Vijay thinks that we can renew early. No sales or profit, or alcohol, so it’s not a festival, which makes the permits easier to get. Marketing should start on Monday. Collaboration between R4D and MV Leos would be a great idea. Kathy was working on permits from the past, to see if we could get some money back. They need check numbers and other details: one was $500 and the other for $470. Vijay and Al can follow up and give the details to Kathy. Rahul was part of who helped get the grant for $10,000. The grant means that it must be a Cupertino event and we are allowed to keep any carry-over and use it for this year’s event. This can be marketed through the District to other Lions Clubs, it is on our website as an event as well. The list of the people who had already registered and our contact of them has not been resolved, because the list has not yet been found. Kathy is going to work on that. Kent pointed out that we should mention that the ride is scaled back so serious riders can make an informed decision. Vijay can see all the emails from the original list, and will forward to Sudha. When Andrea gets back they will make a trip to storage to use some of the signage. Ron Ahearn takes care of the storage, so he is a good resource. Lion Ray Lancon has set up the AJ Robinson Van for that day, but does he have the nurses. Committee will need help and will send out emails when they have a handle on what help is still needed.

Proposed Budget 2019-2020, Motion to Accept/Adopt: Vijay makes a motion to approve, Leslye seconds, no discussion, unanimously passed.

Crab Feed 2020 Date Decision: Sat., 8 February 2020: Lion Steve confirmed that the date is reserved with the church. Once we get the contract, we do give them a deposit. Charles makes the motion to proceed with that date, Jen seconds the motion. Unanimously approved.

Post-event Gratitude: Lions Charity Golf & Moffett Gift Cards. 16 $25 Golf Club Moffett Field gift cards. Proposal is to send them to various people who golfed or who are in our club. There is no restriction, but they do expire. It’s just a freeby, so it’s not part of our budget, etc. Vijay would like to regifting his to those people in the club who actually golf at Moffett, at the AM meeting. Lion Al’s motion is amended by Jeff and proposed to distribute the cards to worthy lions who will use them. Jen seconds, 5 yays, one abstention, passed.

Tail Twister – Lion Eli gave a Happy dollar for the City of Cupertino giving the Cupertino De Anza Lions a $10,000 grant for the upcoming Bike Ride. Lion Kent and others for a successful golf tournament. Lion Steve rolled the dice for his birthday and followed Lion Phil’s tradition of giving a dollar a year for his age so he gave $76, thank you Lion Steve. Lion Bill rolled the dice for his birthday and rolled a 3 and gave three dollars, he said if he gave a dollar for each year he is old 93 he would be broke.

Golf Tournament – Lion Ray wanted thank everyone who helped in making this years golf tournament a successful one. Lion Al said currently we made $12, 848.12. He is still waiting on counting the raffle money counted and asked if anyone has any outstanding receipts to please turn them into him so he can close out the books on the tournament. Lion Eli said there was no bids on the BBQ Barrel and Lion Scott put it on Craigs list and has not received any bids yet. Lion Ray sent out a request for comments on the golf tournament and asked everyone to do so if they have any. Comments were made that the raffle went too slow so that is something we will have to improve on. Lion Eli said a couple of the managers of the course said that it was the best run tournament that they had hosted.
There was an issue with the sound system in that we did bot have a speaker inside the bar so participants could not hear what was going on for the raffle and other announcements, Lion Steve said he could put one in there next year. It was suggested that we have a Golf committee chair person and chairs for the various items that need to be accomplished with several meeting thought out the year. Lion Al said he has 16 – $25 and 1 – $10 gift certificate from the golf course and several ideas were discussed on how to give them out. Lion Charlie said that maybe we could have Hot Dogs instead of or in combination with the Hamburgers next year since some individuals don’t care for hamburgers. Lion Al said he would talk with Lion Claire about the after party sign up sheet as some members say they cannot access it and they don’t want to sign up with google to get access.

Ride4Diabetes – Things are looking up for the ride in September but Lion Al said we need to look at the terms and conditions on the $10,000 grant from the city. Lion Ray said thank you to the new members who are running the bike ride for their support and guidance.

Good of the Order – Lion Al said Lion Phil wanted to bring up supporting Home 1st of Santa Clara County a non-prophet 501C3 that provides shelter year round for homeless in the north valley with the facility being in Sunnyvale. Lion Ray said he would talk with West Valley Services to see if they support the homeless facility.

Lion Claire has it and will bring it to the tournament. Lion Ray said we have two trucks for the storage run, they are Lion Mike Martin and Lion Scott Harris’s trucks. Lion Ray said he would get the list of items needed from storage. Lion Steve said we have sixteen items for the silent auction and seventeen for the raffle. Lion Kent said he would check with the Leo’s and Lion Liang to see how many will be at the tournament. Lion ray said Lion Charles Ice’s daughter Sophia and a friend will help out at registration. Lion Al said he has six cash boxes to bring to the tournament. Lion Eli said we have another Tee sponsor “wendell Stevens Cupertino Rotary”.

Lion Phil rolled the dice for his birthday and rolled an 11 and everyone else donated $1 to the club] Lion Phil gave a check worth about $86 to the Lions for the number of years( I think 86).

Camp Via West work: Thanks to Lions Bill, Ray and Herb, we did the first tasks on Friday and Monday. Next we need to remove stains on the wood part in front of the amphitheater. Tuesday May 21st and 25th Repair the Fire Circle. It was unfortunate that we didn’t have better lead time and more participation from the PM club members, as the work was a bit long and hard for those who worked this past weekend.

Charity Golf Tournament is on track with last year’s sign ups for golfers and early donations. Thirty-four golfers and tee sponsors at this point. Ray is making a chart of the work parties and says most jobs are filled. Lion Carl will set up the electronic sign, so he will need the sponsors’ names from Lion Al. Discussion about how the Paypal is working on our website for this event. The Auction and Raffle items being collected by Ray. A signup chart will be sent out for volunteers to collect Raffle and Auction items: we still need many more donations.

Lucky Store Closing – Lucky Store at El Paseo is closing. Steve has secured a promise of a partnership for our Food Drive with the Lucky in the Pruneridge Shopping Center at 234 Saratoga Ave.

Lions Steve and Al will be going to cast votes at the May18th 4-C6 District Convention in San Ramon.

The DAL Board Meeting is on May 21st.

May 31st is the Flag Day at Hughes Elementary School and Lion Eli and Lion Linda are organizing the picnic and the presentations.

The Budget Meeting is June 15th to discuss our favorite charities and set the fiscal year’s budget.

District Student Speaker Contest – Helen Hu the Cupertino De Anza Club student speaker had to cancel her participation in the Student Speaker Contest fourth level due to illness. She is currently a sophomore, so will hopefully compete again next year.

4-C6 District Convention – Lions Al and Steve attended the convention and voted for the Club.

Board Meeting Review –
Lion Al reported that the transition of the Treasury from Lion Vijay to Treasurer Elect Lion Al has been completed.

It was discussed that the final project at Camp VIA West will be completed on 5/25/2019, help needed.

The 2019 De Anza Golf Classic has raised $11,208.00 to date and is on target to be a successful fund-raising event.

Lion Claire presented questions and suggestions regarding a rewrite of the corporation’s constitution and by-laws. A lengthy discussion followed. Of note here is a change from the Lions Club of De Anza Corporation to the Cupertino De Anza Lions Club.

Lion Andrea reported a favorable interest to our booth at the Cupertino Volunteer Fair and considers the event a success.

There was an in-depth discussion and exchange of information regarding the Ride4Diabetes. It was felt the Committee must do three things: 1-present to the Board any and all information regarding donor data since inception of the event. 2-be present at a Board Meeting and provide an update. 3- be sure to attend the June 15th Budget Meeting to extend the budget into the 2019-2020 Fiscal Year if the intent is to continue this effort.

A brief discussion of the upcoming Food Drive was held, and a new Santa Clara Lucky’s location has been added to the possibilities along with Lunardi’s Market on Bascom Avenue in San Jose.

At the request of Lion President Jeff, the Board agreed with a change in the date of the upcoming PM Meeting to June 12th, 2019 providing Lion President Jeff made the necessary arrangements with Tony and Alba’s.

Camp Via work – Four of us cleaned the fire circle in preparation for painting; the next date is Saturday, May 25 for painting at 9:30

Charity Golf Classic 2019 – We need 20 auction items (over $100) and 20 raffle items ($25). Goodie Bags were donated to Steve from Cheryl Ching of State Farm. Lion Steve reported that we have about 65 sleeves of golf balls on hand. Close to 50 golfers pledged or paid, assuming all foursomes are completed. Some golfers may not be planning to participate. Lion Al is trying to keep track closely. We now have a Gold Sponsor. We need many more Tee Signs committed; only 10 are paid for so far. Lion Ray is checking on the PB&J sandwiches; we have a quote from last year’s supplier as one possibility. We are giving out bottles of wine this year instead of plaques (Lion Steve can supply the wine). We need award certificates for each of the divisions; plus wine as appropriate. All such details need to be handled at a Golf Tournament meeting.

The golf tournament is June 22, 2019 at Moffett Field Golf Course with a shotgun tee time of 10 AM. Lion Ray sent out the signup for volunteers to collect the donations.

The preparations party for the golf tournament will meet at Lion Ray’s house.

Review Hughes Elementary School Flag Day –
Very successful BBQ, good support group of Lions present, kids had great fun and wrote thank you notes. Eli said he was very impressed by the kids’ great manners and good behavior. Teachers gave each class their talk about the American Flag. Lion Ray says the event was great fun. Same school has 36 families who receive food as part of our food drive; the relationship is very good.

Treasury –
Acting Treasurer Lion Al asked for Lion Bill to give over any receipts for the materials we used at Via West for the cleanup projects.

Budget meeting –
If any Lion would like to sponsor or champion a cause, please let one of the Board know or bring your request to the Budget meeting. This is likely to be a deficit year for charities. The figures will come out in the annual report. It doesn’t hurt to operate at a deficit for a couple of years, but that happened with the 2017 R4D, so we need to pick up our fundraising. We are not yet certain if we will breakeven for the Golf Tournament. Concerning the Ride4Diabetes, we need the R4D committee to understand that their efforts will significantly effect our budget and the need to aim for a breakeven of funds raised for the event. Discussion about the Perpetual Fund, which we need to let build and how we spend only the interest.

Charity Golf Tournament 2019 –

Three glaring needs for volunteers: (1) photos for any foursome at the 10th hole that doesn’t have a smart phone to take the photo. (2) We need a minimum of 2 people from 10 to 2 to man the beverage table. (3) We need Leos to come in 2 shifts, at the start of the event (about 8:00 to 10:00) and again about 2:00 to 5:00. No pizza will be supplied. Lion Kent hasn’t gotten anyone signed up yet from the Leos. Lion Liang hasn’t replied regarding the availability of the Community Leos group she has sponsored.

The numbers to date: 48 Paid golfers so far.

We still need golfers, donations (tee signs), as well as raffle and auction items. Please volunteer and recruit and request for these needs! All hands are requested to help boost this event.

The golf tournament is June 22, 2019 at Moffett Field Golf Course with a shotgun tee time of 10 AM. Lion Ray sent out the signup for volunteers to collect the donations.

Ray Gamma (will have his name on a Santa Clara park renovation) asked if we want to do a booth at the Fall Festival.

Tail Twister – Lion Tail Twister Herb collected a happy dollar from Lion Mort for the upcoming Golf Tournament. Lion Steve gave a Happy dollar for his Brother-in-Law’s 50th wedding anniversary.

Golf Tournament – Lion Ray said we will have approximately 80-85 golfers.
Lion Ray said that we have the Beer tent covered with Lion’s Ann & Scott Harris and Lion Andrea Harris. Lion Ray asked who had the Square charging device. Lion Claire has it and will bring it to the tournament. Lion Ray said we have two trucks for the storage run, they are Lion Mike Martin and Lion Scott Harris’s trucks. Lion Ray said he would get the list of items needed from storage. Lion Steve said we have sixteen items for the silent auction and seventeen for the raffle. Lion Kent said he would check with the Leo’s and Lion Liang to see how many will be at the tournament. Lion ray said Lion Charles Ice’s daughter Sophia and a friend will help out at registration. Lion Al said he has six cash boxes to bring to the tournament. Lion Eli said we have another Tee sponsor “wendell Stevens Cupertino Rotary”.

Good of the Order – Lion Ray said that the Ride 4 Diabetes committee member was at the Board meeting and said that the City of Cupertino might give the club a $10,000 grant for the ride.
