Highlights from Afar (Kochi/Cochin, southwest India: Clair and her family just got back from India and visited Don Fasco Boys home, which we donated to, for boys 8-13 who need caring for, about 50 boys.
SCC Registrar, Lions Civic Project, Win-Win for the club corp: Al wants to spread the word about the Santa Clara County registrar which is a volunteer opportunity, but we get compensation that goes to our club, 501C7. A couple weeks before the actual voting day, they need material drop offs and other duties. Look for an email from Al to sign up.
Crab Feed 2020: one month away from our Crab Feed. Ticket sales need to be pushed, especially for 2nd seating. We need volunteers and the spreadsheet has just been sent out by Carl and it’s a little different because you can sign up for an area and then you will be asked to work by the person in charge of that area depending on need. Wednesday PM meeting on February 5th at 5:30 next month will be a work party at Steve and Ellen’s in place of the usual meeting to prep tickets and auction items. Note: Wednesday prep meeting before Crab Feed, NOT Thursday). Any younger members that can sign up for clean up is always needed! Lion Joan and Dagi will be in charge of recycling. Anyone been in touch of Dave Zirkel? Jeff will contact. Jeff and Claire will be co-emceeing. Silent Auction donations from Steve, Ellen, and Pat, so if all people can contact anyone for more items. 200$ for Dutch Raffle donated and Al has it.

Cupertino De Anza Lions Board Meeting: December 2019

Board meeting called to order at 6:56

Approval of minutes, last board meeting: no quorum.
Board Member/Membership Chair Vacancy, Eli has volunteered, so Jill will talk to him and the appointment would go until June 30th.
Food Drive Recap: negative 1,355.30. Lighter on cash donations and lighter on turkeys. There was no 2 for 1 on Turkeys at any of the stores, as there often is. Signage saying that we have freezer storage. 171+ families were served, which is amazing, so worth the loss. Consider budgeting more for the event for next year.
Crab Feed: working on kegs, new Fish Market contact manager is supportive, ticket sales are going very well already. January 15th is the deadline for paying for the reserved seating. Al will send out a reminder about how Crab Feed tickets are a great gift! Silent Auction is moving along. Get the volunteer list out early, hopefully by the beginning of January.
Ride 4 Diabetes Event 2020: looking for the date and potential for City of Cupertino grant application.
Fidelity Trust Documents (stock donation): the account is not difficult, and the only added work would be tax forms and that the board would have to decide when and if to sell stock. The board would need a policy about this type of donation. Tabled to 2020 because of no quorum.
Leo Communication about events and volunteering: who is coming and when and where to events? Al sent a letter about integration with ours for their 501C7, but no response.
Registrar of Voters: voting centers and couriers-one team and pick up at one location. Al will be putting teams together (teams of 2) and looking for 8 teams. It’s a significant amount of money for the club. Logistical and support trucks are also looking for staff from 8-5 that bring supplies to the voting centers. Al is going to try to work with the 4 sites in Cupertino
Student Speaker Contest: the rental agreement for the Odd Fellows Hall needs to be signed. Chairs are Dagi and Joan. Al has the insurance document.
Flag Day Presentations: anyone want to take up that cause again?

Recap:: Food Drive 2019

Claire: Food drive went well. Special thanks to Ray, Jeff and Jen for their hard work. Feedback was we were lean at the El Camino store for volunteers.

171 families were fed. 15+ boxes of leftovers that went to Community Services for West Valley. We were 49 turkeys short, which the cash donations covered.

40th year of this activity!

100 volunteers showed. Event went well.

Recap:: Via Services Social & Possible Guest Speaker Opportunity

Lion Eli: Ratners and Eliasons went. Great event. They had a raffle for a weekend
In Palm Springs which Anne won.

Via does a lot in the community. Everything they get is volunteer money from
private donations. We typically do a work party up there each May.

WomenSV – Ms. Ruth Darlene

They educate providers about forms of abuse in the affluent community.
(financial, emotional, etc.). SC County Psychological Association has recognized
them for their contributions.

85% – 95% of the perpetrators are male. Ruth gave several examples of how
these situations of abuse occur. She has helped over 1300 women. They are
a non-profile. They do fund raisers and rely on donations like the one we
gave them.

Holiday Party: 5:30 at Ray’s. Attendance is 24, so far.

Crab Feed 2020:

Carl – Food permits are in progress. There is a new contact at the Fish Market. Sign-up sheet to follow. There will be two Leo clubs

DAL Board Meeting: November 2019 Tuesday, November 19, 2019 @6:30 at Lion Al’s house.
Board Members: Al, Jill, Jen, Claire, Leslye, Charles, Jeff.
Membership application, Siva Gandikota membership approval: Al makes a motion he be accepted as a member effective from September 1st, Jill seconds. 4 yes, 2 abstain. Passes.
Membership Chair Vacancy: Jeff can appoint someone to fill this term and we need a member as per our bylaws. He will ask the club.
Kerala India Orphanage Proposal: Full electrical renovation of the building and they are asking for $1,000.00 to support the $23,000 overall cost. Could also be a good photo op. Cross-cultural collaboration. They are a non-profit. Claire makes a motion to fund this orphanage proposal. Jeff seconds the motion. 6 yes, one abstain. Motion passed.
Final Check, Food Drive 2019: all is in order as of now as of Claire, Jen, Jeff, and Ray.
Fidelity Trust Documents (stock donation): one Lion wants to donate stock, but that has to be gifted and sold. This would require us to start a brokerage account for our perpetual fund with detailed information for the account holder. Question: what if the person in our club leaves then how complicated is it to transfer the authorization? Do we want to open a brokerage stock account or stick with cash donations, which is simpler? Al made a motion, then withdrew, as the board wants more information before voting to fill out the brokerage application.
ID diabetes accounts: run through fund names and confirm diabetes related or not. We will group these in the next budget meeting and will check the boxes for diabetes related causes. We ask the ride committee what causes they also want the diabetes money to go to. Suggested was AJ Robinson, especially signage showing AJ Robinson and our club, on days the van is at an event.
Past Due dues: taken care of with dropping in good standing Sharlen Vigil, for whom we have paid all her dues since she joined.
Grant Restrictions: grant money from ride must be sponsored by nonprofit and run by a responsible group. Board asked that if the committee applies again for the grant, they come to the board first.
Ride for Diabetes: Sudha sent Jeff a stripped down version of the proposal for next year, she plans to come to December meeting. We are looking for the survey results from Simran before we will consider approving.
Event Debriefs: board wants an event debrief for any major event.
Calendarization of Project Discussions for Board: see pg. 2, added in a rotating fashion to agendas
Board Minute Approval: approval of minutes through email before posting will continue. After one week from when the board minutes were sent out, and before they are published to the club and the website, secretary will add: “Without any additions, deletions or corrections these minutes are approved by the Board.”

Board Meeting Review – Lion Al talked about the Board Meeting.

R4D 2019 Recap: All expenses aren’t in, but sitting close to $16,000+ net, plus our donation to diabetes out of the account, some to AJ Robinson, and another Diabetes Youth Family. Lion Leslye volunteered to hold a few organizational meetings for the ride for next year. Leslye is going to adapt a feedback form for the club, with Sudha and Andrea for feedback. The weekend in September after Labor Day, on a Sunday, seems to be a good one. Sudha has expressed an interest in leading it next year.

Leos and the 4th USA/Canada Leo Leadership Forum: some documentation sent to Ted (Monta Vista) about the monetary issues, but they haven’t gotten back. September and summer are difficult times to get Leos to volunteer.

Omar’s Dream Run: transportation, tables and chairs, and cash sales are all taken care of for the day. October 20th. Al is the one who interacts with the run organizers.

Crab Feed 2020 Update (Contract, Chair, etc.) contract and date, February 8th, 2020. $3,200 for the location. Watch for buying too much crab, as we had too much last time. Band is already confirmed. Are Jenni and Carl still willing to run it? Al is willing to do ticket sales.

Issue for Big Events is Volunteering: how do we bring in more PMers to all events for volunteering? Could one of the jobs for an event be a volunteer coordinator for each event, instead of the chairs having to get all the volunteers.

LCI Help in Wake of Dorian: Do we want to send money? Do we want to send money to LCIF for Bahama Relief which gives the money straight to Lions on scene, who deliver the funds. Jeff motions that we send LCIF our 5,000.00 earmarked to the Bahama Relief fund through LCIF. Al seconds that motions. Unanimously approved.

Annual Donation Transfer to Dandeli Lions: $2500.00 will be given when Prasad Shirahatti can come to a meeting.

Various 4c-6 Updates: Peace Poster contest, Claire will check with Girl Scouts and then we will order packet, if needed. Denim and Diamonds contest in Visalia. in February for MD-4. The 4C-6 is in Santa Maria.Let Lion Al or Lion Jeff know if you want to go.

Lion Leslye wants to bring some Lions to a graduation at Canine Companions, maybe in March or April.

Lions Leslye, Joan, Jenni, and Carl will be helping Project Linus on October 17th at the Odd Fellows Hall.

Lion Sudha and the R4D committee will be presenting a proposal to the Board for next years ride.

Lion Ray said he contacted Lion Mike Martin about driving the Food Drive truck and it is questionable if he will be able to do it. We also need to contact the stores to make sure they are available. Lion Ray said he would reserve the refrigerator truck.

Tail Twister – Lion Tail Twister Herb went around and collected happy dollars for the 49ers. Lion Herb said he was happy to see all the Lady Lions (5) present at the AM meeting. Lions gave Happy dollars for the upcoming Thanksgiving Day food Drive. Lion Linda rolled the dice for her Birthday and rolled a five donating $4 to the tail twister fund. Lion Mort gave a happy dollar for the Blue Bells practice for the upcoming Christmas Party.

Food Drive- Lion Ray said he and Lion Mike Martin will pick up the refer truck on Friday at 5 PM depending on availability. A storage run for the food drive will be made on Friday at 10 AM to pick up items for the food drive. Lion Ray said he would pick up the food boxes from Lion Leslye’s home and take them to the Odd Fellows Hall Friday at about 6 PM. Lion Ray said he talked with Home Depot about borrowing to flat bed carts to use for the food drive, he will pick them up Saturday morning. Lion Ray said the Lion Jen wanted us to pick up the plastic grocery bags from storage to put the frozen turkeys in.Lion Ray asked Lion Steve for the locks and keys for the refer truck, Lion Steve said he would get two of them for Lion Ray. Monday morning food distribution at the Odd Fellows Hall will start at 6:30 AM and we need to be done by 9 AM.

Perpetual Fund – Discussions about the Perpetual Fund is ongoing. Lion Al said Lion Prez Jeff talked with his Fidelity Fund Advisor about our perpetual fund and said further discussions need to take place.

Good of the Order – Lion Al mentioned there things brought up at the Board Meeting :

With Lion Andrea moving to San Diego we will need a new Board member.
Lion Al said we donated some money out of our discretionary fund to another school in India.

Tail Twister – Lion Tail Twister Herb went around and collected happy dollars for the 49ers. Lion Steve gave a Happy dollar for gaining 5lbs while on vacation in New Orleans. Lion Eli gave a Happy dollar for a successful Project Linus and gave Lion Leslye one more completed blanket from Lion Carl and Jenni.
Food Drive- Lion Ray talked about the seven new Food Drive signs that Lion Steve had made to put on the saw horses. Lion Steve brought one to show the AMers. Lion Eli said he had talked with Lion Claire and he will drive his truck for food deliveries the Los Gatos Lunardi’s store so Lion’s Charlie and Herb only has to do the two Lucky’s stores. Lion Ray said he will talk with Lion Mike Martin again to see if he is available to help with the Refrigerator truck. Lion Ray, Eli and Steve will go shopping for any items that we are short of at 5 PM Sunday night. Lion Ray and Eli said they would check with Lion Claire about the set up for the Los Gatos store. Lion Ray said Lion Prez Jeff is checking on getting the food boxes (350) for the Odd Fellows Hall. Lion Leslye said the boxes could be stored in her garage till we need them. Lion Kent is trying to get in touch with the Leo’s about volunteers for the food drive. Lion Don Lang said he signed up on the work sheet and it worked well. Lion Ray said if anyone had trouble signing up to let Lion Claire or Lion Jen know what you want to sign up for and they will fill out the sheet for you.

Perpetual Fund – Discussions about the Perpetual Fund is ongoing.Lion Kent said he talked with his financial person at Fidelity and they do handle 501c3’s if we would like to set one up for the perpetual fund with no Fee’s. Lion Al said we would have to get Board approval and he will bring it up at the next Board Meet- ing in November.
Good of the Order – Lion Phil said we are short on our pull tabs so anyone who has some bring them in to him. Lion Ron and Lion Steve has glasses for Lion Ray and Lion Eli to take to Vallejo.

Tail Twister – Lion Tail Twister Herb went around and collected happy dollars for all the Lions returning from their vacations. Also many Happy dollars for the 49er’s and Warriors. Lion Ray put in a Happy dollar for Lion Al sitting in for him while he was on vacation for three weeks.

Project Linus – Lion Linda said there was a good time had by all. There were between 15-20 individuals that made 52 blankets. They were done by 8:30 PM.

Omar’s Dream Run – Lion Al said Omar’s Dream Run will probably make around $50,000. A number of private donations helped pay for the cost of the park. Thee was a meeting afterwards at Omar’s parents home to go over the the pro’s and con’s they encountered. There were also two young kids who used the technology system while they are in the hospital and shared their stories. Omar’s Dream Run now supports systems in eight different hospitals.Lion Eli said the pickup and delivery of the tables, chairs, and canopies went without a hitch. Lion Eli wanted to thank Lion Prez Jeff, Lion Dagi, and Lion Ron for their support with loading and unloading the equipment.

Food Drive- Lion Al said that Lion Prez Jeff was going to verify the number of families that we were providing food to. Lion Ray said that he got the insurance to cover the event. Lion Ray said he has talked with Lion Mike Martin about driving the refrigeration truck he said it was a maybe. Lion Ray got a reservation for the truck from Penske. Lion Prez Jeff is getting the boxes we need. Lion Claire is sending out a sign up sheet. As usual we need all hands on deck especially on Monday morning loading the trucks and delivering the food. Lion Kent said he would check with the Leo’s about volunteering. We all need to start collecting Apple boxes for the food drive. Lion Ray said he would send out the measurements so we know what size to collect. Extra food in the past has gone to WestValley Community Center and the Sunnyvale Community Center. Lion Kent said he would contact Lion Sudha and Simron to see if the new members are aware of the Food drive and if they would like to volunteer for it. For Lions who have trouble using the sign up sheet for the food drive please send Lion Claire of Lion Jen an email and let them know what you would like volunteer for and they will plug it in the form. Lion Don Lang said we need to be out of the Odd Fellows hall by 9:00 A.M.
