Type: Board Meeting
Meeting Date: Tuesday March 15, 2016
Meeting Time: 7:30 pm
Location Knox Compound
Lion Carl presided over the meeting in the absence of Lion Prez Jeff.
Also present: Lions Charles, Amy, Ray, Al, Bill, and Walt. Buddy the grand dog made a brief meet and greet appearance.
1. PU101 – Lion Vijay has been confirmed as treasurer. Lion Mike R has been confirmed as his assistant. A Letter of Authorization was signed by the Board of Directors approving the change effective July 1st.
At the recommendation of Lion Charles an email request will be sent out asking for volunteers to fill the remaining club officer positions for the 2016-2017 year. After a 10-day notice the Board will approve a recommended list of officers via email. The results will need to be announced 3 times before an April 15th deadline. Still unknown is whether Lion Jeff wants to continue as president.
2. District Financial Penalty – For the last 7 years District 4-C6 has not been filling the correct IRS forms. Therefore the District has been suspended. In order to be reinstated they will have to pay a fine. To help with the cost, 4-C6 is asking each club to contribute $20 of the fine. The Board has decided to table the request for the present time.
3. Mobile Credit Card Processing – The Board approved a measure to try Pay Pal card processing system. We need to begin soon so it can be used for people wanting to register for the Golf Tournament. If we use an Iphone there is a 1-time charge of $129 to set up. Cost for data entry is 3.51% per month. Otherwise the cost is 2.7% to use.
4. Crab Feed
Change of Venue: Lions Eli, Jim, and Ray visited the Elks club in San Jose. The facility can hold more people and has a better kitchen. Downside is that they want $5,000 – $6,000. St Williams wants $2900 if we use their facility next year. Lion Ray has agreed to ask the Elks if they will accept $2,000. If they accept they can handle the bar and keep its profits.
Change in Partnership: The Board is unhappy with current 50/50 partnership with the Sunnyvale Sunrise Rotary Club. Based on their performa we will offer them a 70/30% partnership next year. Lions Jim and Al will set up a meeting with Lester.
If the Sunnyvale Sunrise Rotary does not accept our offer we will look for another partnership.
5. Golf Tournament – Lion Amy reported that the golf cart issue is still unresolved. There are only enough carts for 120 golfers. The course can handle 144 golfers. Having Moffett Field bring in additional carts appears to be too expensive.
Because of rising costs, the club tournament committee is looking into changing to a weekday date, trying to go thought the Google Charity Program, looking for another venue, and/or raising the registration fee.
Lion Steve reported via email that the club is 2/3rds of the way to their goal on the donation request program.
6. My New Red Shoes – The program is based out of Redwood City and improves the quality of life for homeless and low-income children by providing them with shoes and new clothes. The Board approved a donation of $300 assuming they have low administrate costs.
Good of the Order
1. Wounded Warriors – The Board voted to suspend our donation to them for a year because of a recent reporting that they have had lavish administrative costs of 40 – 50%.
2. Zone Student Speaker Contest – Our club level winner, Shankara Srikantan, a junior at Cupertino High School won the Zone 1 level contest on Monday night. He will compete at the Region level contest on Monday evening April 4th, 6:30 pm at the Santa Clara County Registrar of Voters Office in San Jose.
3. Project Linus – Project Linus is scheduled for 6:30 pm on April 7th at the Odd Fellows Hall. Lynbrook High School Red Cross Club will join us in the blanket making. The Board approved $750 for supplies.
4. NURU – The Board voted to donate $500 to NURU. Billy Williams, the Director of Marketing will be here on March 19-20th. NURU is a U.S. based social venture that equips the poor living in remote, rural areas to end extreme poverty in their communities. Currently they are working in Ethiopia.
5. 2nd Vice District Governor – Lion Ray mentioned that Thelma Batilo is running for 2nd VDG of District 4-C6 and would like our support.
6. Club Finances – Lion Al assured the Board that our finances are sound. However next years budget will be lower because of a decrease in income this year.
